INTRODUCTION:
The Tampa Hillsborough Homeless Initiative (THHI) is seeking a full-time Communications Project Manager to lead and deliver strategic, innovative, impactful, and targeted communications on behalf of THHI to all stakeholders and the community at large. The Communications Project Manager serves as a liaison for internal and external constituencies on matters pertaining to the organization in general. The Communications Project Manager also serves as a liaison to the board of directors. The Communications Project Manager must be creative and enjoy working within a small, super-fast-paced environment that is mission-driven, results-driven and community oriented.

Qualified applicants must possess excellent written and verbal communication, administrative, and organizational skills; and have the ability to exercise good judgment in a variety of situations, be team-work oriented, problem solver, and have the ability to maintain a realistic balance among multiple priorities and a variety of complex tasks. The Communications Project Manager will have the ability to work independently on various projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Applicants must possess computer skills to operate internal/external data-based management systems, Microsoft Office and Outlook; have excellent attendance/punctuality, the ability to prioritize and act on time-sensitive matters, while handling an extremely fast-paced, demanding, and heavy workload.

In reporting to the Chief Executive Officer, the roles and responsibilities of the Communications Project Manager will be:

Communications, Partnerships, and Community Engagement

  • Ensures that information on THHI’s leadership is kept updated and responds to requests for materials regarding the organization’s leadership and staff in general.
  • Creates and edits all first draft written communications from the CEO to stakeholders as directed.
  • Follows up on contacts made by the CEO and/or COO to support the cultivation of ongoing relationships as directed.
  • Communicate ideas effectively to a wide range of stakeholders through effective communication skills, such as writing a brief and compiling a social listening analysis for leadership.

Special Projects and Initiatives

  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Assists with the planning and coordination of all community-wide initiatives to ensure they are completed in a timely fashion.
  • Assists with the development of all marketing and graphic design materials as needed.
  • Lead and facilitate the planning and coordination of specific community-wide initiatives, i.e., Annual Recognition Breakfast, Expungement Clinic, Second Chance Job Fair, Operation: REVEILLE, Housing Is Healthcare, and B.E.A.C.H. House.
  • Assist with the completion of the HUD CoC Collaborative Application and its components for submission.

Website/Social Media Management

  • Maintain company website with current and relevant information.
  • Develop social media campaigns and define their KPIs. Also plan, deploy, and monitor social media marketing campaigns across multiple platforms (Instagram, Facebook, LinkedIn, Twitter, and YouTube).
  • Research and analysis: Identify client or company needs and develop effective communication strategies
  • Utilize social media marketing tools like Hootsuite and Sprout Social and monitor the latest social media trends.

Board of Directors Support

  • Maintain and assist the CEO with a bi-monthly report for Board Meeting agendas to include development, collaborative meetings, community presentations, etc.
  • Assists the CEO with developing and organizing material for distribution to the Board for meetings or presentations.
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of agendas, minutes, and other materials before meetings in electronic/paper format.
  • Capture, transcribe, and distribute notes/minutes for meetings (Board and Special Meetings).

Executive Support

  • Communicates on behalf of the CEO as directed with Board members; community partners and stakeholders; and donors and sponsors for various matters.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO and/or COO, including those of a sensitive or confidential nature.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company.
  • Reviews outgoing correspondence for internal consistency and proper conformance with administrative policies, approvals, and signatures, as well as formatting, grammatical construction, and typographical errors.
  • Assist the COO with providing needed information, instruction, and materials for distribution .
  • Performs other duties as assigned.

MINIMUM QUALIFICATIONS:
A Bachelor’s degree in Mass Communication (or applicable degree) and at least two (2) years of experience, OR, an equivalent combination of education, training, and experience. Documentation of academic achievement, applicable licenses, and/or certifications must be submitted by the time of the oral interview. Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, WordPress, Constant Contact, and Social Media web platforms.

License and Insurance: Applicant must possess and maintain a valid Florida driver’s license and current vehicle insurance while employed by the Tampa Hillsborough Homeless Initiative, Inc.
