This Role

The Project Administrator provides essential onsite administrative and operational support to project managers, assistant project managers, and field leadership.

This combined role replaces traditional jobsite admin and field clerk functions, offering a higher-impact, streamlined support position that ensures the project runs efficiently and remains well-organized. The Project Administrator handles jobsite compliance, document support, time-entry assistance, delivery tracking, trailer operations, and day-to-day coordination with foremen and site teams.

This role is critical on fast-moving commercial and hyperscale jobs, where accurate documentation and a well-managed jobsite environment directly support installation success.

What You'll Do

  • Assist with filing, scanning, organizing, and distributing project documents and drawing updates
  • Support GC portal uploads for orientations, safety documents, compliance, and basic submittal-related items
  • Maintain delivery logs, material receipts, daily reports, and equipment check-in/out logs
  • Support PMs and APMs with meeting minutes, punch list tracking, and documentation needs
  • Help prepare closeout materials including O&M manual content and as-built documentation support
  • Distribute work-package documents, drawings, and updates to foremen and field crews
  • Track delivery status of materials and prefab assemblies referenced in work packages
  • Maintain logs to support readiness for upcoming installation phases
  • Assist foremen with time-entry accuracy in Vista Self-Service (no approval authority)
  • Verify cost codes with field teams and flag discrepancies to PM/APM
  • Support labor documentation, daily records, and job-cost backup
  • Maintain compliance logs for safety forms, toolbox talks, equipment inspections, and training records
  • Maintain a clean and organized trailer office
  • Keep snacks, drinks, and general supplies stocked and orderly
  • Assist with daily or weekly lunch orders for project teams as requested
  • Support overall office well-being and readiness for visitors, inspectors, and auditors

What You’ll Bring

  • 1–3+ years of administrative or coordinator experience; construction environment strongly preferred
  • Preferred Associates or Bachelors degree in Commercial Construction.
  • Excellent organization, accuracy, and follow-through
  • Ability to work onsite at active construction jobsites
  • Strong communication skills and comfort interacting with field personnel and vendors
  • Experience with GC portals, jobsite compliance systems, or similar platforms is helpful
  • A steady, dependable work style and willingness to be a key support resource for the team
  • Ability to handle fast-paced, high-volume workloads with consistency and professionalism
