The position of Deposit Operations Specialist works closely with the SVP Deposit Operations and is responsible for administering and performing a variety of duties related to the deposit operations of all offices at Bristol Morgan Bank. This position resolves, posts, and maintains transactions through item processing of accounts. The role is responsible for ensuring adherence to all Bank policies, procedures and state and federal regulations. The Deposit Operations Specialist supports other various functions, including but not limited to wires, quality control, card services, document management, online banking, mobile banking, customer notices and support to customer facing deposit team members.

Essential Duties

1. Processes and resolves daily exception items, including rejects, NSF’s, chargebacks and stop payments

2. Processes daily incoming and outgoing domestic and foreign wires in a timely and accurate manner

3. Ensures debit card disputes are handled according to Regulation E

4. Ensures all mobile deposit transactions are approved and rejected daily according to policy

5. Assists with reconciling various internal accounts and general ledgers.

6. Assists management in developing and updating applicable policies, procedures, and internal controls, as needed.

7. Assists SVP Deposit Operations with varies audits in respect to the Deposit Operations area, including, but not limited to, ACH, deposits, and internal controls. Ensures the Bank is in compliance with established Bank policies, procedures and state and federal regulations.

8. Ensures all documentation and transactions for both IRA and HSA’s, throughout the year, are correct and accurate for year-end reporting. Assists SVP – Deposit Operations with year-end reporting when needed.

9. Processes tax levies, subpoenas, garnishments, and deposit verifications as requested.

10. Completes account maintenance requests, including electronic and/or manual filing and data entry in various banking systems.

11. Ensures accurate completion of related operational reports, statements, notices, data files, etc. initiated by the Bank’s core processing system for both Bank, customers, regulators and state and federal agencies.

12. Working knowledge of Access Manager to assist with online banking and mobile banking for both commercial and consumer clients.

13. Interfaces in a professional manner with customers and staff on banking operations and related matters providing superior customer service. Solves problems within given authority and provides appropriate follow through.

14. Maintains knowledge of all functions of the Deposit Operations Department for backup and assistance when needed.

Job Requirements

  • Associate Degree or higher and 3 years related work experience; or 5 years related work experience and/or training; or the equivalent combination of education and experience as determined by management.
  • Work related experience should consist of operations, compliance and/or management in a financial services industry.
  • Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
  • Advanced knowledge of banking platform software.
  • Advanced knowledge of related state and federal banking compliance regulations, and other Bank operational procedures.
  • Basic knowledge of all IRA/HSA rules and regulations.
  • Demonstrates the ability to adapt to change and be forward-thinking. Understands that change will occur, expects it, effortlessly performs during and after the change using the perspectives, tools, and techniques provided within the organization.
  • Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, speak clearly to customers and employees.
  • Ability to deal with difficult problems involving multiple facets and variables in non-standardized situations.
  • Effective organizational and time management skills.
  • Intermediate skills in computer terminal and personal computer operation; mainframe computer system; word processing, spreadsheet and specialty software programs.
  • Intermediate typing skills to meet production needs of the position.
  • Intermediate math skills; calculate interest, commissions, proportions, and percentages; balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; compute rate, ratio and percent, including the drafting and interpretation of bar graphs.
  • Ability to work with general supervision while performing duties.
  • Current Wisconsin driver’s license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.
