About the Role

Report to and work closely with the Chief Operating Officer and as a member of the management team, to direct and manage Aloha United Way’s (AUW) information technology servers, systems, networks, security, program development and database management functions and internal staff support.

Essential Duties and Responsibilities

· Develop and implement IT strategies and initiatives to support the organization's goals, and collaborate with all departments to address technology needs, and execute appropriate solutions for operational efficiency and agency initiatives.

· Oversee the day-to-day operations of the IT department and systems administration, ensuring efficient and effective delivery of IT services and employee support. Current systems include email, customer relationship management, financial, online donation, grant management software, 211 platform improvements, and shared file servers.

· Manage a staff of two and serve as a member of new agency wide data working group,providing guidance, coaching, and performance evaluations.

· Hold primary responsibility for the security of the organization's data, systems, and networks and provide expertise in risk management and cybersecurity measures. Maintain security protocols, and ensure staff are trained in changes to policy or timely updates.

· Development and Community Impact systems. Build a strong understanding of system application, functions, and operational requirements and hold system oversight responsibility to ensure integrity of donor data and financial records.

· Ensure IT department is effectively serving as staff trainers for onboarding, orientation, access, and technical aspects of all database systems, with a strong customer service focus as a department.

· Develop and maintain IT policies, procedures, and documentation and train staff to ensure compliance with industry standards and regulations, including external compliance validations.

· Monitor IT budgets and expenditures to ensure cost-effectiveness.

· Develop a deep understanding of available data to help inform program and operational strategies and implement improvements to optimize performance, and provide data reporting and analysis support to all internal customers.

· Support a multi-department Stratus Live CRM integration with Finance, Resource

· Manage single-direction and bi-directional synchronization of CRM data with legacy SQL server pledge and donation data using data integration software.

· Coordinate and direct the AUW MIS program, including cross-dept needs analysis, vendor selection and tracking, and procurement in coordination with external providers.

· Manage vendor relationships and negotiate contracts for IT products and services, and serve as primary technical point of contact and contract manager for external providers supplying equipment or services to AUW for IT Infrastructure and applications and technology-based initiatives, including phone and web-based systems.

· Work closely with and as part of the management team, and actively and competently support inter-departmental initiatives.

· Promote a positive working environment conducive to teamwork and encourage active participation of IT department in staff building and team-related activities.


· Provide direct supervision and guidance to assigned staff, currently a system administrator and data analyst role.

· Develop and manage the department budget and agency IT resource and capacity plan.

· Work outside normal office hours to include evenings or weekends and additional hours during peak times and when otherwise required.

· Represent AUW at appropriate community events and in professional organizations.

· Maintain a safe and organized working environment.

· Adhere to the policies and procedures described in the AUW Employee Handbook.

· Keep the COO and leadership informed of significant issues that jeopardize the achievement of objectives, areas not being addressed, as well as share successes to build inspiration and promote best practices.

· Attend management and staff meetings.

· Stay updated on AUW’s long-range strategic plan, goals and opportunities, and understand community programs and donor needs.

· Maintain effective communication on IT activities, capacity, and work with all departments.

Other Functions

· Maintain collaborative working relationships with AUW staff and external customers

· Serve on integrated staff teams assigned to cross-departmental branding projects

· Perform other duties as assigned

Preferred Qualifications


· Broad and varied knowledge of IT infrastructure, programming, operations, applications and management information systems for a mid-size organization, including network administration, cloud platforms, MS 365, CRMs, programming languages and ideally, hardware installation.

· Skills in installation of onsite networks, monitoring, and communication systems

· Experience in risk management and implementing cybersecurity measures and validation

· Knowledge to provide effective ongoing training, staff oversight, and knowledge of supervisory practices and techniques.

· Experience in process and SOP documentation for IT related operations.

· Able to evaluate and negotiate with external vendors.

· Able to work independently as well as actively contribute as a team member

· Excellent communication and interpersonal skills and strong ability to communicate orally and in writing.

· Strong ability to manage and delegate work on concurrent assignments and meet deadlines, and to communicate appropriately to manage and meet expectations.


· Minimum of (5) years experience in computer systems, operations, programming and designing, with at least three (2) years in a management or supervisory capacity, or any combination of education and experience that provides the knowledge, skills and abilities to perform the essential duties of this position.

· Graduation from an accredited college or university with coursework in computer science, public or business administration preferred, but significant demonstrated experience listed above is equally valued.

· Experience in installation/upgrade/maintenance of critical financial, communications, operational, and security computer systems is required.

· Ability to learn and build expertise in new platforms and be the go-to resource for the organization required.

· Experience in a medium-sized or non-profit organization, experience in operations or program management, and/or previous experience working in an IT team environment preferred.

· Must be authorized to work in the United States

· Must be able to pass a background and drug test

· Must be located in Hawaii or have pre-existing plans to be in Hawaii
