Facilities Manager for Equine Organization Job Description

The Facilities Manager is responsible for the maintenance and repair of the facilities and property for a 78 acre equine non-profit operation. This is a hands-on, one-person job! There are no employees to manage.

Reporting: The Facility Manager reports to the Business Manager working closely with an Executive Committee Board member as a point person/advisor.

Facility Key Responsibilities

  • Maintains the facilities and property in great working order including barns, arenas, house, other buildings, building systems (heating, cooling, plumbing, electrical, propane) equine pens and pastures, fencing, hay fields, trail areas, parking areas, and gravel driveways.
  • Follows budget guidelines of the Facilities Committee. Obtain prior approval for equipment and supply purchases that are outside of the budget.
  • Performs facility and equipment repairs as needed and/or coordinates contractors to perform the work. Obtains at least 2 bids for repairs over $3,000.
  • Coordinates with Facilities Committee and Equine Program Director regarding program and other equine schedules.
  • Prepares a Maintenance Plan and Schedule for all farm-related equipment, vehicles, and machinery. Implements the plan and ensures completed work is logged.
  • Checks fences on a regular basis for safety and makes repairs as needed.
  • General maintenance of the barn, facilities, and equipment as needed such as mowing, weed control, seeding, landscaping, hay harvest, etc.
  • Monitors hay supply to store, sell or purchase.
  • Keeps facilities clean and safe including bathrooms, office areas, lobby and break room. Stocking areas with appropriate supplies.
  • Keeps clean and in working order the lifts, floor sweepers, barn equipment, fly spray system, fans, feeding buckets, rakes, brooms, hoses and grooming supplies.
  • Maintains the indoor and outdoor arenas, including dragging, watering and adding magnesium chloride, painting gates and dusting barn areas.
  • Cleans and maintains barn areas utilizing the large sweeper over isles and tacking stalls, replacing rubber mats and/or tape as needed, washing stall walls.
  • Empties trash receptacles and dump trailer.
  • Inventories and replenishes First Aid kits for both people and horses.
  • Pushes snow and ice from outdoor parking areas, drive areas and walkways. A great deal of these areas are gravel.
  • Ensures facility is ready for lessons, special events and other activities such as camp, open house, Tux N Boots, horse shows etc.
  • Maintains supply of paper towels, toilet paper, tissues, soap, napkins, cups, coffee, trash bags, cleaners, light bulbs, batteries etc.
  • Maintains signage such as pasture map, gate labels, sponsor plaques etc.
  • Provides facility report to Board every other month.
  • Participates in all manager meetings.
  • Assist at events and activities as requested.

Skills & Qualifications

  • Technical degree or related degree preferred.
  • Extensive knowledge and experience in facility management and the ability to operate and maintain farm equipment.
  • Basic equine handling skills with the ability to work comfortably around horses and halter/lead as needed.
  • Excellent communication and interpersonal skills with the ability to communicate in a respectful and friendly manner and remain calm in stressful situations.
  • Strong leadership qualities with the ability to think creatively, solve problems, and prioritize.
  • Ability to work with a team in other areas in a collaborative manner. Must be adaptable and flexible.


  • Current driver’s license.
  • Successfully complete pre-employment background check.
  • Ability to work mostly outside regardless of the weather.
  • Heavy lifting required.
  • Must have experience with outdoor machinery maintenance.
