Position: Executive Administrative Assistant
Location: Fargo, ND
Type: Full-time
Pay: $20-$26/hr DOE
Summary:
Better Together ND is a Community Connect and Free Through Recovery provider for the State of North Dakota. Better Together ND provides care coordination, peer support, and recovery services aligned to each individual’s specific needs. Better Together ND is seeking a highly organized and detail-oriented individual to join our team as an Executive Administrative Assistant. The successful candidate will play a pivotal role in providing administrative support to the department, ensuring efficient operations, and contributing to the overall success of our organization.
Responsibilities:
- Client Services:
- Greet and sign in clients with a welcoming and professional demeanor.
- Assist clients with applications, providing guidance and support as needed.
- Answer phone calls
- Document Management:
- Scan, file, and organize documents accurately and systematically.
- Maintain digital and physical filing systems for easy access and retrieval.
- Office Supplies and Equipment:
- Order and manage office supplies and equipment, ensuring adequate inventory levels.
- Coordinate repairs and maintenance for office equipment.
- Correspondence:
- Draft and proofread emails, memos, reports, and other correspondence with precision and attention to detail.
- Answer and direct phone calls, taking messages when necessary.
- Office Environment:
- Ensure a clean, organized, and inviting office environment, including common areas and workspaces.
- HR Support:
- Screen job applicants and schedule interviews.
- Assist in onboarding new staff by providing necessary documentation, including health insurance and retirement plan information.
- Create training materials and assist in the onboarding process.
- Review and help create policies.
- Meeting and Event Coordination:
- Coordinate meetings, conferences, and events, including logistics, agendas, materials, and setup.
Requirements:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.
- Excellent communication skills, both written and verbal.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Attention to detail and problem-solving abilities.
- Ability to handle sensitive and confidential information with discretion.
- Strong interpersonal skills and ability to work collaboratively.
Preferred Qualifications:
- Associate's or bachelor's degree in business administration or related field.
- 2 years as an administrative assistant or similar position
- Experience in the criminal justice and human service industry
