Job Overview
We are seeking a highly organized and detail-oriented Executive Assistant to join our team. The ideal candidate will be responsible for providing administrative support to executive-level management and ensuring the smooth operation of the office. The ideal candidate will be responsible for managing daily administrative tasks and ensuring the smooth functioning of our office operations. As an Executive Assistant, you will report to our CEO and work closely with various departments to streamline processes and contribute to the overall productivity and efficiency of the organization.

Responsibilities:

  • Provide executive support to CEO and executive-level management.
  • Handle general administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
  • Coordinate and schedule meetings, appointments, and travel arrangements for senior executives and staff members.
  • Draft reports, agendas, minutes, slide decks, and other documentation for meetings and presentations.
  • Oversee office supplies inventory and place orders when necessary.
  • Develop social media posts and coordinate with WNYICC’s marketing consultant.
  • Serve as the point person for maintenance, mailing, shipping, and purchasing requests.
  • Collaborate with HR to manage employee onboarding, records, attendance, and vacation schedules.
  • Liaise with external vendors, suppliers, and clients to ensure smooth business operations.
  • Conduct research and provide administrative support to various projects, as assigned.
  • Provide support and assistance to other team members as needed.
  • Provide assistance to WNYICC Teammates to ensure WNYICC maintains excellence in service delivery.
  • Strong problem-solving skills with the ability to multitask and adapt in a fast-paced environment.
  • Ability to multi-task and willing to take on new projects.
  • Comfortable working both in a Team environment and independently.
  • Some local travel (up to 20%) to local assigned partner sites and/or community events.

Experience/ Qualifications:

  • Proven experience in office management or executive support roles
  • Proficiency in computer literacy, including Microsoft Office Suite, Canva, CRM
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills, capable of interacting with individuals at all levels of the organization.
  • Detail-oriented and able to maintain accuracy in work.
  • Ability to maintain confidentiality and handle sensitive information with professionalism.
  • A positive attitude and exceptional interpersonal skills, coupled with a customer service-oriented approach.
  • Previous experience in working effectively in a team-oriented and collaborative environment.

  • This is a hybrid position. Most of the tasks may be completed from your Home / Remote office with at least 1-2 days per week working from our Main Office at 742 Delaware Avenue, Buffalo, NY 14209. Occasional travel across region.
  • SALARY: $55,000 - $60,000 annual, exempt plus benefits.
