The Position:

The Executive Assistant provides day-to-day assistance to the Chief Lending Officer, Chief Operating Officer, and Lending team including gathering background data on loan applicants, managing correspondence (phone and email), managing data filing in a Salesforce database, scheduling meetings, and answering phones. This position will also provide operations support within the Boise office. Occasional travel may be required.

The successful candidate will be a clear communicator, a problem-solver, and never hesitate to roll up their sleeves to do the work needed to get a job done well. Across all their responsibilities, they ensure tasks are completed with a high degree of quality and in a timely manner. This person must be fluent in Spanish and English.

Job Duties:

Lending Support

  • Manage professional communication with loan clients to assist them with sending the documents required for their loan application.
  • Request documents from loan applicants using the client portal in Salesforce.
  • Request signatures from loan applicants on key documents using Docusign.
  • Gather background data on loan applicants using MoFi’s resource partners, which is usually done online.
  • Send denial letters to loan applicants when needed.
  • Enter all loan information from the applicant accurately in our customized Salesforce database using the nCino application.
  • Enter data from client submissions into Excel templates.
  • Schedule Zoom meetings for lenders and loan clients.
  • Log all meetings and supporting activities in MoFi’s CRM database.
  • Help the loan closing team when needed
  • Reach out to existing loan clients to assist the loan officers and Chief Lending Officer

Office Administration

  • Field incoming phone calls, respond accordingly, schedule follow-up calls and meetings as necessary
  • Order and stock office with drinks, snacks, and supplies on a regular basis
  • Run mail and errands as needed
  • Maintain clean and organized common areas
  • Coordinate with contractors on office maintenance: cleaners, landlord, parking, HVAC, electricians etc.
  • Maintain company vehicle: oil changes, tire swaps, and general upkeep
  • Answer/return missed mainline and Spanish reception calls in timely and respectful manner
  • Coordinate and assist with office events as needed: Board Meetings/Office Gatherings
  • Balance petty cash drawer monthly

Learning

This position will be required to learn MoFi’s lending policies, asset management policies, and Small Business Administration’s lending policies. The position will also learn how to understand credit reports, personal financial statements, and business financial statements. The position will require proficiency using Salesforce and Docusign, which can be trained on the job.

QUALIFICATIONS

  • Bachelor’s degree required
  • Comfortable working with numbers
  • A minimum of three years of experience in a similar position

  • Strong technical acumen, including use of MS Office suite.
  • Preference for fluency in Spanish, both written and verbal
  • Preference for strong proficiency in Excel
  • Preference for familiarity with Salesforce (or other CRM)

COMPENSATION
Salary is $40,000-$70,000 per year based on experience. Additional compensation includes full employer paid medical, dental, and vision benefits; employer-sponsored 401K retirement benefits; life insurance; holiday savings matching program; monthly wellness stipend; paid vacation, holiday, and sick leave; and short and long-term disability and AD&D.
