Full job description

Executive Assistant to COO – A Great Opportunity Waiting for You!

Are you ready for a career instead of just a job? This is an Exciting and Prestigious opportunity to work, learn, and grow with a CEO who has been honored as one of the “Premier Orthopedic Spine Surgeons in the United States”.

Previous Experience in a Healthcare Setting is a Plus!

Previous Experience with Bookkeeping duties is a Plus!

SpineCenterAtlanta, conveniently located in beautiful Buckhead, is looking for an Outstanding Executive Assistant for our COO. Think you have what it takes? Please read on….

  • You are dedicated to helping others be their best selves at home, work and in their community. This is the foundation for everything else. Whether the task is big or small, you achieve your goals by helping our COO achieve theirs.
  • You have personalized expertise. An exceptional EA will know what they likes and doesn’t like. You will know where they are and where they need to go. You will know when to schedule meetings and when not to. You will gather as much of this information as possible and as early as possible—and proactively keep learning.
  • You master the calendar. In business we live and die by the calendar. Deadlines, appointments, meetings, presentations, calls—the calendar is the flight plan that keeps all of these moving parts from crashing into each other. And don’t forget scheduled commitments at home.
  • You anticipate needs. A exceptional EA sees in advance what an executive needs and plans accordingly. If it’s lunch before a meeting, reports emailed to a client, whatever, you’ve already seen the need and addressed it. Anyone can take a direction. But an exceptional EA is already moving the way we want to go.
  • You prioritize the personal. You must co-pilot and default to prioritizing the professional at the expense of the personal. Protecting the COO’s personal time lets them maximize their professional time. An exceptional EA knows that and helps them guard that time.
  • You are willing to push back. A good EA will keep the COO from burying themselves. EA needs a “calendar czar”. At any given moment the COO doesn’t know the full range of their commitments, obligations, and initiatives. An exceptional EA does know and will push back when they start getting overcommitted.
  • You create and master systems. Effective performance depends on a certain number of set preferences and procedures. What works best for the COO and their team? An exceptional EA will document and systematize these things so they are not always reinventing the wheel.
  • You know what’s on his plate. The EA should know all that the COO is dealing with and what’s critical to their success. An exceptional EA can keep the COO focused on the high-leverage activities and decline or delegate the rest.
  • You respect his confidentiality. An exceptional EA will have all sorts of personal information and access. It’s critical that he or she has integrity and a sense of discretion. It’s also important that you see when people are trying to get insider access or influence.
  • You have great communication skills. And by this I don’t just mean you can carry on a conversation. The exceptional EA will help facilitate communication in our organization—especially if things become bottlenecked. Whether it’s email, calls, or other communication, you will accelerate response times and keep the messages moving.
  • You have Bookkeeping experience
  • Command of Microsoft Office, Develop Meeting Agendas (take and distribute meeting minutes), Meet, Greet and Engage patients during clinic days and ensure an exceptional experience, Manage the Attorney Deposition Program for the clinical team (predominantly our CEO).

Education:

  • Associate’s or Bachelor’s degree is preferred.

Experience:

  • 3 years’ experience as a proven executive assistant. Prior experience in a Healthcare setting is Preferred.

This is an opportunity to find a home in a growing healthcare organization that will provide stability and growth – A Great Opportunity Waiting for You!
