Job Summary:
The Executive Assistant position is an opportunity for talented individuals looking to hit the ground running at a busy creative agency. Working closely across the entire team, the Executive Assistant plays a crucial role in supporting the CEO, CCO and broader team as well as ensuring smooth functioning of day-to-day operations.

Required Qualifications

  • 2-3 years experience as an executive assistant, operations coordinator, business administrator, human resources generalist, operations assistant, or comparable professional exposure
  • Bachelor’s degree
  • Polished and professional written and oral communication skills
  • Knowledge, understanding, and/or interest in Silicon Valley, Venture Capital, Tech companies, etc.
  • Ability to solve problems and execute in a dynamic, fast-paced environment
  • Impeccable attention to detail and high level of organization
  • Excellent interpersonal skills and ability to create and maintain positive relationships with staff and vendors
  • Ability to prioritize heavy workload, handle multiple tasks under pressure, and work self-directed with a sense of urgency
  • Familiarity with Google Workspace and Microsoft Office

Preferred Qualifications

  • Experience in small agency setting, eagerness to learn and grow with company
  • Interest or experience in design is a plus!
  • Preference will be given to candidates residing in any of the following states: Alabama, California, Illinois, Kentucky, or Virginia
  • Experience with Toggl, Monday.com, Pandadoc, and/or Quickbooks preferred

Key Responsibilities

  • Administrative support: Coordinate all internal and external meetings, execute support across multiple time zones, manage team calendars, arrange travel plans, and handle correspondence on behalf of the team.
  • Communication Liaison: Serve as a primary point of contact between the CEO and internal/external stakeholders, including clients and team members.
  • Project Coordination: Assist in managing projects by organizing resources, tracking deadlines, and facilitating communication among team members to ensure timely completion of project tasks.
  • Document Management: Responsible for filing, drafting, editing, and proofreading documents such as presentations, reports, and proposals.
  • Research: Conduct research on industry trends, competitors, and potential clients to provide valuable insights to the CEO, and team for decision-making purposes.
  • Event Planning: Assist in organizing company events, such as workshops, conferences, or client meetings by coordinating logistics and managing invitations.
  • Financial Support: Assist in budget management, expense tracking, and invoicing processes to ensure smooth financial operations.
  • Confidentiality: Handle sensitive information with discretion and maintain confidentiality regarding company strategies, client details, and other privileged information.
  • Problem Solving: Act as problem-solver, addressing day-to-day issues and finding solutions to challenges that arise within the office environment.
  • Ad Hoc Tasks: May be required to perform various ad hoc tasks as assigned by the CEO, CCO and team, ranging from errands to special projects.

The expected salary range for this position is: 65-80k annually (commensurate with experience).
