Job Summary:

We are seeking an Executive Office & Community Liaison to join our mission of meeting the critical needs on Maui by activating our land and assets to their fullest potential. In this role, you’ll be the cornerstone of the team’s day-to-day operations, playing a vital role in managing schedules, projects, and community events. We are looking for someone who thrives in a fast-paced, multi-faceted environment that can confidently make quick decisions and anticipate challenges. The ideal candidate will be a proactive problem solver with a strong attention to detail and a positive, can-do attitude.

As Executive Office & Community Liaison, your responsibilities will be:

Executive and Staff Support:

  • Anticipate and proactively address the needs of the executive team by managing calendars, scheduling meetings, arranging travel, and streamlining communication.
  • Act as a liaison between the company and individuals, groups, vendors, various service providers, and appropriate stateholder groups.

  • Provide overall support in executive meetings and daily activities, including task management, timely meeting notes, and follow-ups on action items.
  • Administrative support for all company operations payables

Customer Relations and Communications:

  • Maintain a welcoming and professional office environment.
  • Demonstrate exceptional hospitality when greeting clients/customers, handling inquiries, and directing them to appropriate personnel.
  • Database management, and updates for various stakeholder groups including Kapalua Club Membership.
  • Address customer and vendor billing and account inquiries.
  • Membership and vendor liaison for the Kapalua Club, fielding all inquiries and daily communication channels.

Event Management:

  • Manage and coordinate logistics for a wide range of events, to include but not limited to, board and committee meetings, Kapalua Club activities, stakeholder gatherings and other community events.
  • Lead event marketing through the appropriate communication channels, track attendance and event feedback.
  • Ensure all event details are documented and deadlines are met.

Project Management

  • Support executive team with real estate leasing and property management project coordination.
  • Lead special projects, as assigned.
  • Coordination and implementation of marketing and communications for leasing and development efforts.
  • Maintenance of Kapalua Club day-to-day operations and special projects at all membership levels.

Account Payable

  • Manage Kapalua Club accounting system including billing, payments and reports.
  • Assist the accounting department with regular accounts payable duties for the company including but not limited to invoice billing, payment processing, account reconciliation and month-end closings.
  • Prepare accounting-related reports.
  • Assistance in providing audit support items.

Additional Responsibilities:

  • Develop strategic content development for communication channels, including social media, website, email communications, and event promotions.
  • Create creative materials for promotions and campaigns.
  • Coordinate sales operations.
  • Assist with special projects and initiatives as assigned.
  • Performs other tasks and duties as required.

Qualifications:

  • Bachelor's degree in business administration, office administration, or a related field preferred.
  • Minimum of 3 years of experience of office and administrative experience working with all levels of management, including executives.
  • Account Payable experience with the use of Quickbooks
  • Strong organizational, time management, and communication skills.
  • Excellent interpersonal skills and ability to build rapport with diverse individuals.
  • Proficient in Quickbooks, Microsoft Office Suite, and relevant administrative software.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Discretion and a strong commitment to confidentiality.
  • Positive attitude, professional demeanor, and a team-player spirit.

Additional Qualification (Preferred):

  • Proficient in Native Hawaiian Language or a deep understanding of Hawaiian culture.
  • Experience in hospitality or customer service roles.
