Our Facilities Support Manager plays a crucial role in ensuring that our workspace remains safe, functional, and efficient for all.

Job Summary

The Facilities Support Manager position supports the buildings and equipment to ensure that the workspace is safe and functional. Responsibilities include management of the facilities support team and related activities like facility maintenance, installations, and repair work. This position is responsible for receiving, communicating the status of, and distributing packages and vendor bought items such as hardware.

Duties & Responsibilities

  • Conducts and documents regular facilities inspections.
  • Environmental and hazmat contact person; fire, utilities, alarm company, consultants, etc.…
  • Ensure that the facility is fully operational, and all utilities are functioning properly.
  • Support maintenance repair work such as basic tool repair and assist with checking installation and basic servicing of building equipment.
  • Creates reports on maintenance, repairs, safety and other occurrences for supervisors and other relevant staff.
  • Participates in researching and sourcing parts for small repairs.
  • Maintain stock levels for facilities supplies such as toilet paper and water in coolers and assist in distribution of shop and office supplies.
  • Receive packages from carriers such as FedEx and UPS, research and communicate status of packages, and distribute as necessary.
  • Receive, scan, save, and send documents through email to communicate with team and outside parties.
  • Participate in the unloading of deliveries from carriers and placing them in the appropriate place.
  • Conducts inventory counts and inspections.
  • Verifies contents of deliveries and communicates any discrepancies to the appropriate person.
  • Maintain a safe and clean workspace.
  • Work with the safety department to make sure all of our documentation is in compliance with Federal, State and local entities.
  • Work with the Shipping and Receiving team to provide support as needed.
  • Responsible for seeing that any current projects are seen to completion.
  • Backs up and assists with Fleet duties.
  • Assist with office tasks when needed.
  • Perform other duties as required.

Water Resources Board Duties

  • Ensure compliance with the State Waterboard.
  • Monitor Storm Water Pollution Prevention Plan (SWPP) and Monitoring Implementation Plan (MIP).
  • Monitor BMPS and BMP (Best Management Practices) maintenance.
  • Maintain constant knowledge of the locations of storm drains, sampling areas and other sensitive areas.
  • Ensure designated fluid draining areas are identified and explained for facilities with fluid draining activities.
  • Complete monthly visual observation forms and file in binders.
  • Complete Annual Comprehensive Facility Compliance Evaluations (ACFCE) and file in binders.
  • Work with storm water management consultants to anticipate managing our storm water prevention plan

Supervisory Responsibilities

  • Oversee the Facilities Support Team
  • Responsible for training the Facilities Support Team on State Waterboard and Stormwater compliance.

Skills and abilities

  • Proficient with Microsoft Office programs (Word/Excel/Outlook), and Adobe Acrobat.
  • Skill in delegating tasks and responsibilities effectively.
  • Experience in coaching and mentoring team members.
  • Proven ability to drive team performance and achieve goals
  • Ability to manage time very efficiently and prioritize accurately.
  • Ability to multi-task, be flexible, and work effectively in a fast-paced environment. Able to be decisive and work well under pressure, particularly when faced with unexpected delays or occurrences.
  • Ability to organize and follow-through in a consistent manner.
  • Must be a well-organized, detail and customer (internal and external) oriented.
  • Ability to work independently.
  • Ability to report for different shifts with little notice.
  • Report and document discrepancies with receiving and ability follow through to resolution.
  • Ability to drive a company vehicle, insurable under the company’s vehicle policy.
  • Ability to operate a forklift.
  • Ability to perform basic tool and equipment repair.
  • Must be able to read, write and communicate in English, and communicating in Spanish a plus.

Knowledge

  • Knowledge of Cal/OSHA and other environmental regulations.
  • The ability to identify various types of tools, material, and hardware used in construction.
  • Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management.

Education and Experience

  • High school diploma (or equivalent) a plus.
  • Experience of facilities maintenance or equivalent related functions in a construction environment.
  • Experience and certification in the operation of a forklift a plus.

Physical requirements

  • Frequent walking, standing, climbing, stooping, bending kneeling, and reaching; lifting and carrying up to 50lbs.
  • Work outside and inside around machinery with moving parts; work around moving objects or vehicles; work on ladders and scaffolding.
  • Exposure to dampness and temperature extremes.
  • Slippery or uneven walking surfaces.
