Position Overview
Project Healing Waters Field Support Specialist (FSS) position oversees the administration in all aspects of Regional, and local Programs in the assigned geographical area. This position supports our northern sector (New Jersey, New York, Pennsylvania, New England - CT, RI, MA, VP, NH, ME and National Capital - MD, DC, DE.)
The FSS are critical liaison between the field and the National Staff. FSS have primary responsibility for overseeing and managing Volunteer Leadership within their Sectors, Regions, and Programs; identifying key resources; and providing the support they require in order to meet PHWs mission. FSS reports to the VP of Operations and the Director of Field Support.
The successful candidate will be a detail-oriented, highly organized, and creative individual willing to demonstrate a thoughtful and strategic approach to the support of our mission. They will possess a unique combination of curiosity, technological savvy, excellent interpersonal skills, as well as the ability to organize information for Volunteers.
The environment is dynamic and needs are often evolving; forward flexibility and forward-thinking views are important for success. The ideal candidate will have experience with Veteran non-profits, and a strong customer service orientation, with a high level of professionalism.
Essential Responsibilities
Relationship Leadership & Volunteer Development
- Coach and mentor Volunteers with best practices, donor relationships and community outreach practices; reviewing the quality of work; and supporting Region and Program needs.
- Manage and communicate a clear vision of PHW objectives; create an environment that enables collaboration among National, and Volunteer team members.
- Manage relationships with Veterans, Volunteers and National Staff.
- Provide training, guidance, and support to the Volunteer Leadership.
- Foster a positive, collaborative team culture.
- Collaborate with other departments to enhance overall Regional and Program effectiveness.
- Implement best practices for continuous program improvement.
Regional and Local Program Management:
- Ensure program activities align with PHW’s mission and core programming.
- Develop and deploy Program/Region budgets during the annual budget process in coordination with headquarters staff and Volunteer Leaders.
- Develop new Program initiatives to support the strategic direction of the organization in collaboration with other team members.
- Ensure that Program activities operate within the policies and procedures of the organization
- Collaborate with the Development Director for local fundraising and Creative Director in order to provide Program related content to assist with development and marketing opportunities.
- Help track and report to management on Regional and Local Programs, cost, engagement, and other due outs throughout the year.
- Track program deliverables, outcomes, and impact metrics.
- Identify and mitigate risks to ensure successful program execution.
Training & Onboarding/Orientation for new Volunteer Leadership
- Conduct on-site and virtual training sessions for new and existing Programs.
- Develop and revise training and standardization materials as needed.
- Ensure that all Volunteer Leadership receive an appropriate orientation to the organization and its policies and procedures to ensure effective and efficient Program delivery.
Events/Activities/Outings
- Represent PHW at various local, regional, and national outings and events.
- Travel to Program outings and meetings on an as needed basis.
Other:
- Meet regularly with National staff and Volunteer Leadership via Teams, and work proficiently in the Microsoft Suite as well as data collection via Salesforce.
- Plan and facilitate meetings utilizing effective presentation and written communication skills.
- May be responsible for several projects consecutively.
- The Field Support Specialist must be available for some travel, typically on weekends, and must have the ability to work remotely from a home office.
- Occasional nontraditional office hours including evenings and weekends are necessary.
- Other duties and special projects as assigned.
Qualifications
- Bachelor’s degree preferred or commensurate experience
- A minimum of 3 years of experience in a non-profit organization with project/program management, customer service and training
- Liaison experience with Volunteers and staff
- Highly organized self-starter with exceptional communication and relationship-management skills
- Ability to successfully work remotely with autonomy and hold oneself accountable to execute on assignments and meet deadlines
- Strong organizational and people skills.
- Excellent communication and interpersonal skills; ability to articulate the strategic vision of PHW
- Ability to analyze data, prepare reports, and use program evaluation tools.
- Proficiency with program management (CRM) software and tools and Microsoft Excel.
- Proven success in managing projects.
- Background with supply ordering, inventory review, fiscal responsibility, and review reimbursements against requirement for approval.
- Unwavering commitment to quality Programs.
- Action-oriented, entrepreneurial, flexible, and innovative approach to Program support.
- Ability to work and travel outside of traditional office hours, including evenings and weekends.
- Familiarity with fly fishing and associated activities preferred.
