Financial Administrator

The Financial Administrator is a key part of our team that works closely with each department. They are responsible for the bookkeeping, financial record keeping, and reporting. We are looking for a dynamic financial expert that well versed in all aspects of finance. Mortgage experience preferred!

Core Responsibilities

Bookkeeping:

  • Responsible for all general ledger accounting processes
  • Maintain chart of accounts and proper accounting records
  • Record deposits into General Ledger
  • Process all payments and expenses in General Ledger, prepare checks, assure prompt payment and discount use
  • Record payroll in General Ledger
  • Prepare all month-end adjusting journal entries
  • Reconcile account balances (mortgages and escrows) sub-ledger system
  • Prepare monthly asset and liability account reconciliations
  • Monitor compliance with document retention policies
  • Monitor/handle all issues involving credit cards including compliance with Payment Card Industry standards and merchant services.
  • Monitor internal controls and develop additional controls where needed
  • Closely monitor bank accounts
  • Liaison with Finance Committee to ensure review of bank and credit card reconciliations

Payroll:

  • Responsible for working with payroll service and accounting for processed payroll
  • Manage relationship with payroll service, ensure proper reporting and tax deposits
  • Track monthly payroll information to include PTO and sick time and supply to payroll service
  • Maintain employee payroll records
  • Ensure compliance with all payroll changes and regulations
  • Responsible for accuracy of employee deductions for garnishment requirements, health insurance, 401K contributions

Financial Reporting:

  • Responsible for monthly, annual, and special reporting
  • Generate monthly financial statements
  • Prepare financial documentation, as needed
  • Prepare information for annual audit
  • Assist with annual budget preparation
  • Prepare reports for directors as needed, such as Costs, Budget Performance Reports, Functional Expense Analysis, and Cash Flow Statements
  • Ensure all licensing fees and sales tax payments are paid in a timely manner
  • Assist treasurer with preparation of board information
  • Various record keeping activities/monitoring of various business accounts (i.e . cell phones, insurance etc)

Cash/Asset Management:

  • Responsible for monitoring cash needs and maintaining external contacts
  • Reconcile and monitor daily cash receipts and petty cash accounts
  • Pursue collections of NSF checks and past due balances
  • Maintain banking and credit card relationships
  • Maintain employee credit card access, limits, reporting and documentation
  • Manage multiple checking and savings account, assuring proper balances

Other Services:

  • Ideal candidate must have a strong understanding of mortgages
  • Communicate mortgage balances and payment
  • Monitor escrow balances to ensure compliance with Florida banking laws
  • Calculate mortgage changes as needed

Performs other tasks as necessary.

Skills and Personal Characteristics:

  • Proven experience as a Financial Administrator or in a similar role.
  • Strong knowledge of accounting principles and financial regulations.
  • Proficient in using financial management software and MS Excel.
  • Excellent organizational and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Effective communication and interpersonal skills.
  • Ability to plan, schedule, prioritize, coordinate, delegate and manage multiple work activities.
  • Demonstrated enthusiasm, team focused, and strong customer service skills. Attention to detail and overall quality control.
  • Accuracy, attention to detail and financial aptitude.

Education and Experience:

  • Bachelor's degree in Finance, Accounting, or a related field.
  • Must be highly experienced and proficient in QuickBooks and Excel.
  • Knowledge of construction accounting and/or mortgage servicing preferred.
  • Must be able to handle General Ledger responsibilities, payroll processing and regulations, and month-end closing.

Reports to: CEO

Employment Status: Full Time salaried position at 40 hours per week with some remote work available.

Salary: $50,000+ Compensation is dependent on experience. Competitive pay and benefits package.
