    Summary

    Provide clerical assistance to Fleet Director to ensure all shops run effectively and new equipment is delivered on time.

    HOURS

    • Monday – Friday
    • 8:00 am – 4:30 pm (Flexible)
    • This is NOT a remote or hybrid position

    RESPONSIBILITIES / DUTIES

    1) Assist Fleet Director with daily tasks and communications

    • Returning emails
    • Following up on equipment builds
    • Assisting with equipment procurement
    • Assisting with adding projects and updating project tracker in Smartsheets
    • Maintaining communication with shop leads on current and upcoming projects
    • Assisting with California Air Resources Board (CARB)

    2) Attend fleet related meetings

    • Attend fleet related meetings
    • Take notes/minutes for all meetings
    • Assist in creating reports requested in meetings
    • Lead mechanics meeting when needed
    • Attend work events and conventions(traveling)
    • Visit truck build shops

    3) New Equipment Management

    Registration

    • Complete PFR registration for all fleet units.
    • Visit DMV as required to complete title and registration processes
    • Track vehicle smog certification requirements to ensure compliance

    New Numbers in RTA

    • Add vehicle when order
    • Activate when in service

    New Numbers in Vista

    Add new vehicles to insurance

    Add new vehicles in Pre-Pass

    • Remove when sold

    Add new Vehicles in Fast track

    • Remove when sold

    Track sold vehicles

    • Assist in the vehicle sales process, ensuring all required documentation and system updates are completed
    • Monitor and maintain a list of vehicles available for sale
    • Remove sold units from insurance, RTA, Vista, and compliance platforms.
    • Other duties assigned

    KNOWLEDGE, SKILLS, AND ABILITIES

    1) Minimum Education Required: High school diploma, secondary education a plus.
    2) Minimum Experience: Work experience a plus
    3)Computer Skills: Proficient in Microsoft Office Suite e.g., Word, Excel, & Outlook.
    4) Experience with RTA (fleet software), Vista, and Smartsheet is a plus, but not required
    5) Ability to understand and carry out oral and written directions
    6) Aptitude for learning
    7) Strong attention to detail and ability to work independently or as part of a team
    8) Enjoys working for and with others
    9) Excellent written and verbal communication skills
    10) Logical deductive reasoning
    11) Reliability in checking own work to ensure accuracy
    12) Takes responsibility and ensures the job is completed
    13) Well-organized and able to carry out assignments with minimal supervision
    14) Willing to go the extra mile and a half - and then some if needed!
    15) Required: The ability to take notes at all meetings and distribute them as requested by management
