Park Meadows Cosmetic Surgery - Front Office Coordinator
The Front Office Coordinator is responsible for welcoming and greeting patients ensuring a timely check-in/check-out of all patients while auditing daily notes and collecting monies. Our Front Office Coordinator answers, screens, and directs calls and visitors in a courteous and cordial manner. They schedule patient and prospective patient appointments and often have in-depth conversations about insurance coverage, deductibles, copays and coinsurance. They provide general practice information to incoming patients, prospective patients, and telephone inquiries. Overall, they ensure that the first verbal and physical contact with a patient is pleasant and welcoming.
It is imperative that this position possesses extensive knowledge in insurance verification and benefits elilgibility, as a large portion of the practice is insurance-based breast reconstruction.
We use Nextech EMR and it is important that this position is very familiar with the use of computers and software systems. Additionally, other clerical duties (faxing, mail, upkeep of reception area) is also necessary.
Primary Job Responsibilities:
1. Welcomes patients, directs the sign-in procedure, and verifies that the appropriate demographic information has been collected. Enter/update patient demographics as needed. Collects ID and insurance card as needed, inputs data and ensures proper forms are signed.
2. Greets visitors, determines the purpose of visit, and directs them to appropriate person or department(s). Phones employees to meet visitors and directs visitors to appropriate waiting areas. Appropriately and courteously screens solicitors for relevance to organization needs.
3. Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail, or redirection of calls as needed.
4. Schedules various types of appointments, answering questions about procedures and pricing and referring people appropriately if needed.
5. Ensures patients receive portal email regarding paperwork needed for appointments.
6. Responds to email and chat inquiries promptly, offering to schedule an appointment.
7. Prepares pre-surgical and surgical charts and paperwork for upcoming appointments.
8. Responsible for the organization of office files and keeping consent forms printed and available.
9. Verifies insurance benefits for scheduled breast reconstruction consults and communicates with patients about the ability to see them in clinic based off of insurance plan.
10. Determine copay amount that will be due at necessary appointments. Use Billing Coordinator as a resource and double-check.
11. Facilitates patient flow and communicates delays with patients and clinical staff. This includes contacting patients who are late or do not arrive, with the intent of rescheduling the appointment. Communicate with Patient Navigators about consultations as well.
12. Tracks and manages patient referrals and general referral tracking, mailing perks gift certificate to patient referrals.
13. Responsible for keeping the reception, patient waiting areas clean and clutter-free.
14. Retrieve paper charts from storage; scan in charts as needed for appointments; retrieve corresponding photos from Dolphin software.
15. Confirms presurgical appointments, confirms monies due, confirms tattoo appointments and collects monies due. Check surgery payments for accuracy.
16. Complete medical records requests.
17. Locks the following notes: online medical history, initial paperwork, surprise billing/balance billing, assignment of benefits, and any WEBFORM notes.
18. Monitors the schedule for accuracy and verifies all appointments following the standard appointment time worksheet.
19. Creates Lab Requisitions for lab work received via fax.
20. Copies all hospital paperwork and faxes to appropriate hospital after pre-surgical visit.
21. Completes timely check-in/check-out of all patients, collect co-pays or other monies due, confirm any future appointments.
22. Verifies that dictation of notes has been completed and places in the appropriate chart after obtaining signature. Communicates with physician if dictation is outstanding. (CGW uses Nextech dictation – JZW uses Alta Scribe)
23. Performs Daily close-out and reconciliation of all money collected.
24. Maintains patient confidentiality.
Additional Responsibilities/Tasks:
1. Orders office supplies, coffee, and Sam’s Club ordering.
2. Distributes daily mail promptly and lets manager know when stamps are needed.
3. Completes weekly flower orders for patients.
4. Place trouble calls for the copier and postage meter.
5. Assist Administrator with Emergency Manual changes.
6. Performs other duties as assigned and assist Administrator as needed.

This position is full-time, Monday-Friday, 8am-4:30pm.
