Position: Front Operations Manager

Department: Patient Care Coordinator Support Team

Reports to: CEO

Status: Salaried, Exempt

JOB SUMMARY:

We are seeking a highly motivated and organized individual to join our aesthetic dermatology practice as a Front Operations Manager. This key role is responsible for overseeing the front office operations, including scheduling, appointment confirmation, phone inquiries, and the management of patient care coordinators. The successful candidate will play a pivotal role in ensuring smooth day-to-day operations, exceptional patient experiences, and the continuous improvement of front desk performance.

The position is scheduled for 5 days per week. This schedule may be subject to change from week to week depending on workload, deadlines, and/or events. The expectation is to work a 40-hour work-week.

ESSENTIAL SKILLS AND ABILITIES:

  • Proven experience in a managerial role within a medical or aesthetic dermatology practice.
  • Strong leadership skills with the ability to motivate and develop a team.
  • Excellent organizational and multitasking abilities.
  • Exceptional interpersonal and communication skills.
  • Knowledge of scheduling systems and front office procedures.
  • Understanding of aesthetic dermatology practices and patient care in a medical setting.
  • The ability to meet deadlines.
  • Confidentiality.

EDUCATION AND EXPERIENCE:

  • High School diploma is required. Bachelor’s degree preferred.
  • Data entry experience or related office experience
  • Experience with software applications including Modernizing Medicine, Google Suite (Gmail, Calendar, Zoom, Sheets, Documents), and other web-based applications.

RESPONSIBILITIES:

● Team Leadership:

  • Lead and inspire a team of front desk patient care coordinators.
  • Provide coaching, guidance, and training to ensure team members are proficient in their roles.
  • Foster a positive and collaborative work environment.

● Front Office Operations:

  • Manage scheduling to optimize appointment availability.
  • Oversee appointment confirmation processes to reduce no-shows and enhance patient satisfaction.
  • Address patient inquiries and concerns, ensuring a high level of customer service.

● Efficiency and Effectiveness:

  • Implement and monitor procedures to maximize efficiency in front office operations.
  • Conduct regular assessments of staff performance to identify areas for improvement.
  • Implement strategies to enhance the overall effectiveness of patient care coordinators.

● Communication:

  • Serve as a liaison between the front office and other departments within the practice.
  • Facilitate clear communication channels to ensure information is disseminated effectively.

● Quality Assurance:

  • Implement and enforce quality assurance standards for front office processes.
  • Conduct periodic audits to maintain a high standard of service.

● Other duties as assigned.

Position may have local travel between office locations as needed.
