The dates for this position are May 24th-August 11th, 2024.

In this role as an Santa Clara Vanguard, Housing Coordinator, you will report directly to the SCV Tour Manager and SCV Corps Director. You will work closely with the SCV Management team to facilitate housing and rehearsal venues for the SCV pre-tour and summer tour. You will primarily work with the Tour Manager to fine tune details regarding housing and rehearsal facilities and be the point-of-contact for the facility administration.

SCV Housing Coordinator Responsibilities:

  • Meet regularly with SCV Tour Manager to ensure in-depth knowledge of housing and rehearsal facilities
  • Assist SCV Tour Manager in searching, contacting, and acquiring housing and rehearsal facilities when necessary
  • Meet regularly with SCV Corps Directors to ensure in-depth knowledge of housing and rehearsal facility needs and/or any changes
  • Communicate via phone call with facility administration day of travel and one hour before arrival
  • Complete housing form in collaboration with the facility administration during initial walk-through with facility administration
  • Ensure all signs and cones are set out during walk-through prior to arrival of the corps members, staff, and volunteers
  • Communicate with student leadership (drum majors) upon corps member arrival to ensure their understanding of the facilities
  • Facilitate and assist in parking of corps vehicles in communication and collaboration with Fleet Manager and/or Lead Driver
  • Ensure safety of all members, staff, and volunteers who sleep within the facilities by checking all points of entry/exit prior to going to sleep
  • Communicate facility notes with SCV Corps Directors prior to going to sleep
  • Be available to assist with facility needs at a moment's notice

Location & Schedule:

Housing Coordinators will travel full-time with breaks with Vanguard from May 25th through August 10th. Meals, lodging and travel will be provided for this position.

Compensation:

All corps-related travel, housing, and meal expenses will be covered by Vanguard. Personal travel and meal expenses are not covered.

Qualifications:

  • Age 22 or older, 25 or older if operating and driving a company vehicle
  • A driver's license is not required; however, all Tour Administration Staff with valid driver’s licenses will be added to SCV vehicle insurance

Experience:

  • At least one year of participation in a performing arts unit desired, preferably with WGI and/or DCI components
  • At least one year of DCI/WGI or other related administration experience is desired
  • Excellent organizational, communication, and interpersonal skills
  • Proficiency with Google Workspace, Evernote, and Slack; strong email and written communication skills
