Job Description


Under the direction of the Treatment Coordinator, the Intake Coordinator is responsible for managing the referral, registration, and admission process of clients as they enter CaringWorks housing and treatment programs. Responsibilities for this position includes gathering client information, completing administrative documentation, coordinating with referral sources, and assisting with quality control of program files when needed. The Intake Specialist aids in tracking enrollments and discharges, maintaining service deadlines by considering local, state, and federal guidelines and grant mandates. The position also ensures quality control compliance by completing various reports and forms, drafting memos and letters, and providing resource materials to eligible and non-eligible clients.

Essential Functions and Responsibilities:

● Maintain the appropriate admissions documentation for all clients entering a CaringWorks housing and/or treatment program.

● Maintain accurate documentation in agency systems such as ClientTrack, Sharenote, Beacon, etc.

● Participate in monthly meetings with direct supervisor.

● Effectively communicate, establish, and maintain cooperative working relationships with a wide range of individuals and groups to include program staff, clients, community partners, etc.

● Update Client Track in real time to ensure system and documentation compliance.

● Enter and monitor Beacon authorizations to ensure clients are registered at intake/ admissions.

● Maintain accurate reporting on program spreadsheets and reporting systems.

● Research and remain knowledgeable about best-practices, program models, and program performance standards for intake/admissions.

● Interview clients and complete all intake/admissions documents for agency clients.

● Assist with file auditing at the direction of the Treatment Coordinator.

● Verify client insurance, benefits, referral needs and submit internal and external referrals.

● Schedule appointments as needed.

● Creates and maintains client medical records.

● Remain in constant contact with internal and external program referral sources for new enrollment/referral opportunities.

● Participate in agency-wide training and remain compliant with all agency required training courses.

● Complete quality control on all forms to assess for accuracy of information received.

● Maintain accuracy with the program census for active and discharge clients.

● Complete performance tools for various grants serving Residential Services (i.e. GPRA, ANSA, GAIN, etc.)

● Assist with housing program intake appointments as needed.

● Other duties as assigned.


● A Bachelor’s Degree in a related field or applied discipline from an accredited school (i.e. Behavioral Sciences, Public Health, Healthcare Administration, etc.); Masters degree preferred.

● Minimum 1-3 years of experience in the provision or oversight of analytics for health/human services, nonprofit organizations, and/or homeless programs.

● Must successfully pass a background check and drug screen/test.

● If applicable, must possess a valid GA state driver’s license and liability insurance minimums as outlined in Caring Works Liability insurance coverage.

Required Skills:

· Excellent interpersonal, analytical, research, presentation, written, and oral communication skills.

· Ability to multitask, manage, and organize projects; and assist with enrollment and marketing projects.

· Efficiency in Microsoft Office Software.

· Ability to work with grantors, funders and other collaborative agencies.

· Ability to work independently and manage multiple priorities.

· Excellent time management skills.

Preferred Skills:

● Efficiency in Google Docs/Google Drive, ClientTrack, Sharenote, and/or CareLogic.

● ANSA Certification.

● Ability to work with at-risk client populations (i.e. chronic illness, mental illness, substance abuse, homelessness, etc.).

● Experience in quantitative and qualitative analytical methods.

● At least 1-3 years of experience in intake/admissions.

Work Environment and Physical Demands

Counselors and therapists occasionally may travel to meet clients and patients in their home and/or respective place they may be residing.

This position operates in a professional office environment often requiring sedentary daily tasks with some movement between standing and sitting with excellence in communication to include talking, hearing, and seeing to relay and report information. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines and at times may require reaching, bending, or lifting up to 25 pounds.

The noise level in the work environment is typical of that of an office. Employee may encounter frequent interruptions throughout the workday.
