Full job description
Duties & Responsibilities:
1. Greet & assist all clients, potential clients, & guests of MNBH in a positive & professional manner.
2. Answer & properly route phone calls to the appropriate staff and / or program. Direct flow & functions of clients.
3. Check Medicaid daily for every client on the schedule, communicate coverage changes to billing department.
4. Schedule clients for billing department consult if additional coverage is needed / if client requires assistance with SoonerCare application.
5. Provide data & information to Business Department as requested / needed.
6. Screen callers for program eligibility & complete initial referral form, established client in EMR as appropriate. Track initial referral forms for all callers.
7. Schedule intake assessments, create consents packet for new clients, & assist client with completion prior to intake appointment.
8. Obtain client photograph along with copies of client ID, social security card, CDIB / tribal enrollment card, insurance cards, etc. & ensure records are up to date. Upload to EMR programs. When collecting insurance cards, verify policy holder, if not client obtain info – Name, DOB, SS #, & relationship to client.
9. Collect, track & scan group sign-in log sheets to SharePoint for all programs.
10. Ensure complete client records by auditing, scanning, & uploading all required documentation into the EMR system. Secure PHI & maintain client confidentiality.
11. Assist with managing client appointments as needed & document absences.
12. Manage & modify providers schedules as per directives.
13. Schedule medical appointments as per directives.
14. Make reminder calls for medical appointments the day before scheduled.
15. Develop annual intake packets and treatment plan update / addendum forms.
16. Alert L/BHP or Youth Service Coordinator when client arrives to facility.
17. Alert necessary supervisor to any medical / clinical client emergency. Initiate / complete incident report.
18. Assist clients with inquiries & provide referrals & community resources as needed.
19. Take payments & develop & provide receipts as necessary & appropriate.
20. Obtain confidentiality assurance signatures on sign-in page for all visitors (including contractors & etc.).
21. Complete release of information (ROI’s) & track expiration dates for renewal.
22. Scan, e-mail, & fax documents. Route incoming faxes to appropriate staff & upload client records to EMR.
23. Create documents & place on appropriate letterhead.
24. Check mail daily.
25. Maintain vehicle schedules.
26. Keep track of all debit / credit cards.
27. Check in Amazon orders, reconcile with list, & route to appropriate department.
28. All other duties as assigned.
