Main Functions:

The Project Manager Assistant will help with the planning, execution and successful completion of any given project from conception through construction and installation. They will be responsible for assisting with procurement, floorplan changes, and updates to the client budget. This position is responsible for knowing the status of all orders, for maintaining schedules, and updating Design Manager.


  • Complete all receiving on a weekly basis. Update the Project Manager on the status of any back ordered items as well as update the budget.
  • Update wall schedules, lighting schedules, drapery schedules, and bedding schedules as changes are communicated.
  • Create and complete catalog sheets for each design presentation. Work directly with design team and Project Manager to complete in a timely manner.
  • Schedule installation, delivery, coordination, of each project install.
  • Schedule and provide call in information, calendar updates for all project meetings.
  • Assist with the completion and communicate of progress to clients/designers/Operations Manager.
  • Assemble and maintain project binders.
  • Communicate with clients on project process when necessary or directed by management.
  • Monitor and maintain the furnishing schedule on a weekly basis.
  • Raise and discuss relevant issues at meetings.
  • Prepare and expedite project punch lists to close out jobs in a timely manner.
  • Input and monitor Design Manager.
  • Assist with procurement when necessary to ensure that all spec sheets are stamped and have all information listed.
  • Keep Design Manager updated so that accounting is able to invoice ASAP for merchandise. This includes, but not limited to status checks, receiving items, inactivating items, returning items to inventory that are not approved by client.
  • Completing time sheets on a daily basis.
  • Complete item return/damaged forms and forward to appropriate personnel for follow up.
  • Schedule travel arrangements associated with their projects.

Skills Needed:

  • Professional and a personable individual committed to the overall objective and self-development within the company.
  • Ability to intelligently communicate with design team, client and trades.
  • Value of internal and external relationships.
  • Ability to communicate effectively in presentations and in writing.
  • Working knowledge of furniture, fixture, and equipment (FF&E) architectural/interior finishes, lighting, color and material to carry out design intent.
  • Ability to prioritize in order to meet deadlines and provide high quality service to clients.
  • Ability to use In Design preferred
  • Ability to work well under pressure, juggle and prioritize multiple projects and adjust work accordingly, often against tight deadline.
  • Ability to interact with senior management, external client organizations and vendors.
  • College graduate preferred
  • 2 years administrative experience.
  • Working understanding of construction terms, scheduling, and planning concepts.
  • Management, organizational, presentation, and interpersonal skills.
  • Must be able to multitask and prioritize work.
