Full job description

The Marketing VA is responsible for managing the timelines associated with all client onboarding & funnel projects. This includes delegating onboarding tasks internally & managing client timelines to ensure our team is staying on track to launch ads on or ahead of schedule.

The Marketing VA works in unison with Account Managers & Strategists to create a seamless onboarding experience for the client. Following strategy development, the Marketing VA assumes responsibility of tasking all deliverables to respective team members & making sure we are on time / ahead of schedule for launching.

While onboarding projects are the primary focus of the Marketing VA position, they also manage the logistics of new funnel build projects & live launch projects across active client accounts. This includes overseeing timelines for: email integration, landing page or sales page copy and building out/integrating new funnel pages or webinars for our clients.

Similar to client onboarding projects, the Marketing VA will work in unison with the Ads Team to create a seamless service experience for clients who need our funnel support. They will own the timeline & organization of these projects from inception to completion, creating little to no disruption in the ads management of the account.

The Marketing VA must have a strong foundational understanding of ad and funnel strategy to effectively own the outcome of all projects. They are fully vested in seeing their projects through and able to adapt to the continually changing dynamics of a project without sacrificing the end result. This role is for you if organization & systems is your middle name - and you love seeing a project through from start to finish!

Day-to-Day Responsibilities

  • Work directly with Strategists & Account Managers to understand and follow through with the specifications of all new client onboarding projects
  • Operating with proactiveness & urgency to achieve 95% of funnel build projects complete within projected deadline
  • Operating with proactiveness & urgency to get 80% of clients live within 30 days from their deposit
  • Proactively quality control & review visual strategies and timeline for tasks, as well as strategy presentations to ensure there are no missed opportunities in getting clients live as soon as they can
  • Update the client slack channel daily/weekly to keep track of onboarding timelines & funnel build projects
  • Coordinate and be responsible for moving clients through the onboarding phase - scheduling, team communication, asset organization and meeting all deadlines including launching a new client within 30 days
  • Communicate and consistently check in with clients whose projects are pending completion
  • Offer and coordinate calls with the team as needed to stay organized or facilitate additional support as needed to keep them on track to launch ads on time
  • Task out and manage the fulfillment of all client onboarding tasks
  • Task out and manage the fulfillment of all active client A La Carte projects. Project manage & oversee any of our client funnel builds in Asana
  • Manage getting copy written & approved for all funnels by our copy team
  • Manage & oversee the funnel being built and approved by the client before sending to our ads team
  • Manage & oversee all duplication & pixel work being done for funnels ultimate tracking success
  • Manage full funnel build projects from start to finish for our clients and work directly with the copy, creative and funnel tech teams to deliver a high quality funnel to the client
  • Identify weaknesses/gaps in project management processes and work with the Director of the Ads Team to devise and implement improvements
  • Work with Director of Ads Team to update funnel build SOPs, process and Asana workflows related to client onboarding & executing funnel build projects if something is amiss
  • Work with Director of Ads Team to facilitate team feedback & areas of improvement for the creative & funnel team if anything goes amiss during the onboarding process or funnel development process

  • 2-3 years of direct experience managing marketing & sales funnel projects
  • Excellent Asana comprehension and direct experience managing complex projects in Asana and utilizing all Asana features for streamlining projects
  • Past experience in providing support with inter-team collaboration, understanding their priorities, expectations and opportunities for growth & improvement
  • Demonstrated ability to being able to stay organized & communicate clearly and effectively with a team
  • Experience and background working with marketing and understanding the language, process and nuances of digital marketing funnels and various platforms
  • Ability to provide a clear vision and direction when initiating and delegating projects
  • Flawless communication (concise/proactive, exceptional active listening skills, strong facilitation of each project)
  • Expert time management skills to consistently deliver projects on time or ahead of time
  • Ability to understand and embrace change/curveballs of projects without sacrificing quality of work and end result
  • Hyper organized with a sharp eye for detail

Compensation & Benefits:

  • Hourly contract position (up to 20 hours per week)
  • $25 - $30 / hour
