Job Summary: The Medical Coordinator assists the Medical Coordinator Lead with tasks pertaining to the prescribers’ appointments for the week. Duties for the Medical Coordinator include filling prescriptions, completing progress notes, reconfirmation calls, scheduling appointments, requesting records, and preparing charts. This position will function as backup to other administrative staff as needed.

Spanish/English Bilingual preferred.


Log appointments in charts.

Enter vitals into EHR system.

Make reconfirmation calls to clients.

Prepare charts for upcoming appointments.

Verify insurance eligibility.

Check filing for necessary documents.

Audit medication history and verify consents.

Check progress notes for completeness.

Enter appointments into EHR system and print schedule for prescribers.

Prepare/setup office for telepsychiatry appointments.

Check vitals for clients coming in for telepsychiatry appointments.

Request records from previous mental health agencies/providers for clients.

Submit the prescribers’ Weekly Verification Sheets.

Function as back-up to other administrative staff as needed.

Perform miscellaneous duties as assigned by supervisor.

Qualifications Required:

A high school diploma or equivalent.

Minimum of one year of experience/training in customer service.

Experience in community mental health and/or nonprofit setting.

Well-versed in HIPAA compliance and regulations.

General knowledge of office systems and procedures.

Proficient in Microsoft Office applications.

Attention to detail and accuracy.

Excellent time management and organizational skills.

Strong communication skills – written and verbal.

Demonstrate the ability to:

· Maintain client confidentiality.

· Optimize productivity output.

· Prioritize effectively and work independently.

· Make sound decisions under pressure.

· Project a professional persona through language, attitude, attire, and actions.

Job Type: Full-time

Pay: $19.00 - $21.00 per hour

Expected hours: 40 per week
