Job Summary:

The Office Administrator is responsible for providing administrative support to the Human Resources department and the executive team. This role involves assisting with The Office Administrator ensures smooth and efficient processes, contributing to the overall success of the organization’s workforce management.

Applicants can expect a base compensation range of $24.00 - $26.00 per hour with working hours of 8am – 5pm, Monday - Friday. This is the reasonable estimate for this job based on applicable circumstances at the time of posting. Pay could be more or less than the posted range as permitted by law, and commensurate with the applicant’s experience, qualifications, and geographical location.

You will make a difference in the following ways:

  • Answer and distribute incoming calls and receiving all visitors to the building while ensuring proper sign-in requirements are met.
  • Schedule and organize complex activities such as meetings, travel, conferences, and department activities. Partner with other Executive Assistants across Belden to organize various inter-company events.
  • Perform desktop publishing, create and develop visual presentations and communications for the General Manager and executive team.
  • Serve as the travel administrator for the company and coordinate travel for executive staff and outside guests.
  • Type and design general correspondences to include, memos, charts, tables, graphs, business plans, etc. Proofread for spelling, grammar and layout, ensuring the accuracy and clarity of final copy.
  • Perform various front office administrative duties such as purchase of office supplies, sort and distribute the mail, maintain company phone list and mail out employee birthday cards.
  • Assist with various office shipments through UPS, FedEx, or other certified mailings.
  • Ensure all new hire paperwork is completed accurately and filed appropriately.
  • Manage confidential documents and information securely, ensuring privacy standards are met.
  • Help track mandatory compliance certifications and training schedules.
  • Assist with employee recognition programs and events to maintain a positive workplace culture.
  • Draft and distribute communications, including policy updates, memos, and notices.
  • Assist in the preparation of employee handbooks, job descriptions, and other documents.
  • Lead plant communication by maintaining forms in the Employee Resources Center, and updating relevant information on the company Intranet, Communication TV’s and plant bulletin boards.
  • Coordinate company events such as organizing and ordering lunches, reserving conference rooms, scheduling employee trainings, and planning customer visits.
  • Maintain company t-shirt inventory for production staff, ensuring uniforms are available to new hires and annual orders are placed.
  • Perform general office duties, including ordering office supplies, preparing reports, and assisting with office organization.

What you bring:

  • Associate degree in Business Administration or administrative certificate preferred.
  • Minimum two (2) years of prior experience supporting top level executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Ability to handle confidential information with discretion and professionalism

Job Types: Full-time, Temp-to-hire

Pay: $24.00 - $26.00 per hour
