Full job description

Summary: Responsible for performing assigned clerical duties in an efficient manner by performing the following duties.

Duties and Responsibilities include the following: (Other duties may be assigned)

1. Greets and screens incoming visitors in a professional manner and promptly notifies appropriate person of their arrival. Answers questions and hands out forms accordingly.

2. Answers multi-line telephone system & takes accurate messages. Transfers messages and phone calls to the appropriate person when needed.

3. Opens and date stamps incoming mail and distributes in a timely fashion.

4. Processes member payments in QuickBooks and updates badging system as needed.

5. Processes sales receipts for event sales, merchandise sales and various miscellaneous cash receipts.

6. Responds to and/or directs property owner inquires in an efficient manner.

7. Operates standard office equipment efficiently such as photocopy machine, computer, calculator, multi-line telephone, facsimile machine, postage meter and scale.

8. Hands out blank architectural application permit application forms. Reviews incoming architectural forms for completion and accuracy and forwards to committee for approval. Hands out architectural permits

9. Prepares citation letters, invoices, updates fines log and mails (certified & regular) to appropriate property owner. Processes payments and notifies dept. head when fine is paid.

10. Assists other departments with their administrative needs.

11. Assists office manager, committee chairpersons and community manager with special projects as needed.

12. Updates, scans and attaches documents into member files. Requests information as needed.

13. Issues new and updated badges for members in good standing.

14. Issues weight room waiver forms, receives signed waivers and updates badging system accordingly.

15. Prepares resale packets and verifies the deed transfer went through with the county.

16. Enters new member information into database accurately and in a timely fashion.

17. Process member payments and logs in cash log.

18. Prepares correspondence as needed (i.e. letters, emails, faxes, etc.)

Job Type: Part-time

Pay: Up to $15.00 per hour

Expected hours: 20 – 28 per week

Benefits:

Experience:

  • Customer service: 1 year (Preferred)

Ability to Relocate:
