Overview
We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks. This position requires strong organizational skills, excellent communication abilities, and proficiency in office software.
Duties
- Manage daily office operations, including scheduling appointments and maintaining calendars.
- Answer phone calls and respond to inquiries with professionalism and courtesy, demonstrating strong phone etiquette.
- Utilize Google Suite for document creation, data entry, and communication purposes.
- Assist with bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
- Provide exceptional customer service to clients and employees and visitors, ensuring a welcoming environment.
- Maintain organized filing systems for both physical and digital documents.
- Coordinate office supplies inventory and place orders as necessary.
- Keep office clean and organized
- Support team members with various administrative tasks as needed.
Qualifications
- Proficiency in Google Suite applications (Docs, Sheets, Drive) is required.
- Experience with calendar management to efficiently schedule meetings and appointments.
- Familiarity with phone systems and strong phone etiquette skills are essential.
- Basic knowledge of QuickBooks is preferred but not mandatory.
- Bilingual candidates are encouraged to apply as it is a valuable asset for communication with diverse clients.
- Strong computer literacy with the ability to learn new software quickly.
- Excellent organizational skills with attention to detail and the ability to multitask effectively.
- Previous experience in an office environment or customer service role is preferred.
