Job Description - Office Manager

Rebuilding Exchange invests in our communities by reusing building materials, reducing construction waste, and training, supporting, and connecting people seeking careers in the building trades. We divert building materials from landfills through two reuse retail stores in Evanston and Chicago and offer deconstruction services to homeowners that want to save their building materials from landfills. We teach community members to repair and repurpose building materials through education workshop programs. Finally, we run a paid workforce training program to support individuals overcoming barriers to employment to access careers in the building trades. Our training programs are run simultaneously at our Evanston and Chicago locations.

We seek to hire an Office Manager to manage the operational functions and processes of the organization including facility management, office administration, information technology, and human resources. It’s a critical role to build a strong and efficient organization that is growing in personnel, budget and physical locations in Evanston and the Bucktown neighborhood of Chicago.

This is a full-time salaried position, typically Monday-Friday between 9:00am and 5:00pm with occasional weekend and evening hours. The Office Manager reports to the Director of Finance and Administration.

Primary Responsibilities:

Office Administration
Ensure smooth, efficient and organized offices that allow staff to do their best work
● Manage the maintenance of two facilities in Evanston and Chicago
● Organize and manage office policies and procedures in both locations
● Develop and maintain relationships with insurance brokers, IT support, and other vendors
● Maintain compliance for all business and legal requirements
● Order and maintain the appropriate level of supplies necessary for day to day business
● Manage the creation of new email accounts and update as needed
● Manage records retention process and ensure that paper and electronic filing systems are integrated and organized
● Maintain technology systems including troubleshooting issues with office equipment and information systems
● Prepare bank deposits and assist with data entry

Human Resources
Strengthen workplace policies, practices and culture that will attract, support, and retain diverse talent
● Maintain and administer employee benefits and benefits policies, including audit oversight
● Assist in processes relating to hiring, onboarding, and termination (researching/developing job descriptions, posting jobs, managing applicants, hiring paperwork, exit paperwork)
● Research, develop and assist in implementation of personnel policies that value and support staff
● Ensure that personnel files are organized, complete and up to date
● Develop and implement strategies to acknowledge and celebrate staff

Organizational and Staff Leadership
● Support the Executive Director in board meetings, recruitment and development
● Attend monthly staff meetings and participate in ongoing safety updates, training and employee reviews
● Represent the organization in public settings
● Contribute to a collaborative working environment that strives for excellence in service
● Other duties as assigned

Job Skills and Qualifications:
● At least 3 years of professional administrative experience, preferably in a nonprofit environment
● Access to regular transportation and able to work at locations in Evanston and Chicago
● Proficient and comfortable in Microsoft Office, Google Suite, ADP and Salesforce
● Strategic, excellent organizational skills, self-starter, motivated and comfortable working independently and on a team
● Strong project management skills managing complex projects resulting in measurable successes
● Excellent verbal and written communication skills with exceptional attention to detail
● Interest in our nonprofit mission and being a part of a fun and collaborative team!
