We have a great opportunity for an Office Manager to join the team. An ideal candidate will possess strong organizational skills, be adept with technology, and be service-oriented.

This position will be 100% in office in San Francisco; no relocation reimbursement.

RESPONSIBILITIES

General Office Operations

  • Responsible for overseeing timekeeping and processing payroll
  • Track and administer the 401k plan including uploading contributions and running reports
  • Manage and provide guidance to the Office Administrative Assistant
  • Ensure that the Firm is operational and welcoming, including managing office supplies and equipment
  • Manage the relationship with the landlord/property manager; responsible for office security, keys, and parking administration
  • Ensure compliance with federal, state, and local laws
  • Oversee the renewal of the Firm’s business licenses and insurance, including but not limited to property, malpractice, and worker’s compensation
  • Comply with company policies and procedures including confidentiality, ethics, conduct, and safe working expectations

Finance, Billing & Accounting

  • Oversee the internal billing duties performed by the Administrative Assistant
  • Address complex billing questions from clients and enlist assistance from the external accounting firm where appropriate
  • Oversee collection of accounts receivable and work with external accounting firm on resolving complex issues
  • Track and oversee payment of all invoices by external accounting firm
  • Ensure that all tax filings are current and in compliance (including local, state, and federal)
  • Oversee and work with the external accounting firm on bank reconciliations and quarterly and year-end financial reporting

Human Resources

  • Work with external HR consultant and perform day-to-day human resources activities which include but are not limited to onboarding and offboarding employees and the administration of benefits, leave of absence, and workplace safety programs
  • Respond to and resolve employee concerns
  • Assist with complaints and investigations
  • Plan and organize employee engagement events and functions

Information Technology and Data Security

  • Direct the IT function, including maintaining the relationship with IT consultants and overseeing enhancements and upgrades to the Firm’s technology and equipment
  • Ensure staff are trained on the use of office equipment and regularly reminded of how to avoid and identify threats to the security of firm data
  • Ensure that all employees have the necessary equipment and functionality to perform their jobs

EXPERIENCE/EDUCATION

  • Bachelor’s Degree in Business or comparable education
  • Minimum of five (5) years of office management experience (preferably with a law firm)
  • Experience using QuickBooks Online
  • Experience processing payroll using Paychex Flex
  • Experience using legal billing systems such as LeanLaw is a plus
  • Thorough understanding of accounting and financial principles
  • Familiarity with California employment laws
