Full job description

Qualifications: Must possess strong oral and written communication skills and be able to work well with others. Requires a pleasant personality in dealing with church members and the general public. Must be able to maintain strict confidentiality in handling certain church matters. Must have good organizational skills and be able to coordinate a complex schedule of daily activities. Requires ability to type at least 60 wpm with a basic understanding of Microsoft Word or comparable word-processing computer program.

General Description: Helps Pastor organize the work of the office and ensures that the daily operations of the office are carried out in an orderly, efficient, and timely manner. Serves as the primary point of contact for information concerning all church activities. Is responsible for maintenance of church records and production of special and recurring publications and correspondence. Is the administrator for such use of church facilities as may be approved by the Property Committee.

Duties:

Required Meetings:
1. Meets weekly with the Pastor.
2. Meets weekly with the staff.
3. Meets monthly with the Mission Committee.

Calendar: Maintains staff calendar for vacation, appointments and necessary office coverage as well as the church calendar for church activities in the facility.

Assists Pastor:
1. Helps coordinate multi-member meetings.
2. Helps with necessary correspondence and meeting notices.
3. Helps with coordinating all wedding and funeral arrangements held in the church facility.
4. Provides necessary materials for New Member seminars, New Officer Training, Leader Retreat, and Annual Congregational Meeting.

Publications: Prepares the weekly worship service bulletin.

Office Management:
1. Purchases office, kitchen and janitorial supplies.
2. Receives and assists office guests.
3. Answers phone in the absence of office volunteers.
4. Coordinates coverage and oversees office volunteers.

Support:
1. Handles reimbursements/payments in the absence of the Financial Manager.
2. Issues Building Use Applications on behalf of the Property Committee.
3. Maintains digital Presbyterian Cemetery records on behalf of the Trustees.
4. Provides emergency assistance on behalf of the Mission Committee to those in need through the distribution of the Pastor's Emergency Fund.
5. Assists office volunteers with the FPC Food Pantry by checking in clients, supervising and talking to clients while in the pantry and distributing HEB gift cards as necessary.
6. Provides a weekly visitor list to Evangelism Committee for follow-up contact.
7. Provides a quarterly list of members who are no longer attending for Evangelism follow-up contact.
8. Coordinates the publication and distribution of all stewardship materials on behalf of the Finance Committee.

Church Records:
1. Maintains digital records for staff, officers, members, transfers, weddings, deaths, baptisms, etc.
2. Handles all incoming and outgoing requests for transfer of membership.
3. Maintains all attendance data and reports.
4. Completes statistical and other reports required annually by Mission Presbytery and PCUSA.
5. Files Session minutes in the church library and makes available to congregation upon request.

Other duties:
1. Coordinates registration and accommodations for Presbytery meetings.
2. Maintains all key access to the facility including physical and code access panel keys.
3. Coordinates food for staff planning meetings and leader retreat.
4. Serves as a member of the Mission Committee.
5. Serves as a contact person for repair and inspector personnel as needed.
6. Tracks all hours worked in the performance of duties as detailed herein.

Job Type: Full-time

Pay: $36,000.00 per year
