ESSA is seeking a highly organized and detail-oriented individual to join our team as an Office Manager. The ideal candidate will have experience in office management, possess strong organizational skills, be proficient in using QuickBooks for accounting tasks, and have excellent communication skills.

Job Title: ESSA Office Manager

Summary of primary duties and responsibilities: This position reports directly to the Executive Director and is responsible for managing and overseeing daily office and administrative operations. The Office Manager implements administrative systems, procedures, and policies, and provides excellent internal and external customer service. The Office Manager is responsible for all bookkeeping for the organization.

Administrative Duties:

  • Conducts all bookkeeping activities in QuickBooks, including payroll, accounts payable and accounts receivable
  • Verifies staff timesheets, processes payroll and complies with state and federal reporting requirements
  • Manages credit card processing service providers, coordinates placement and upkeep of credit card processing terminals
  • Maintains and updates necessary forms and policy documents
  • Coordinates staffing assignments for all ESSA operational hours, functions and workshops
  • Ensures working order of office equipment and replenishes inventory of office supplies as needed
  • Liaison with office services and utilities vendors
  • During assigned office hours, assist in fielding phone calls and assisting guests as needed
  • Respond to e-mail/phone messages on days in office within 24 hours
  • File & archive documents, contracts and records
  • Check mail on-campus and at post office box on all scheduled workdays and process mail appropriately
  • Provide reports and perform other duties as requested by Director
  • Other responsibilities as assigned


Proficiency in Microsoft Office Suite

Proficiency in QuickBooks

Knowledge of general bookkeeping and accounting principles and payroll processing

Ability to maintain confidentiality of sensitive information

Proven experience as an Office Manager or similar role (2+ years)

Ability to work with CRM (e.g. ConstantContact, DonorPerfect)

Excellent verbal and written communications skills

Ability to organize and prioritize work

Ability to work independently with little supervision

Excellent interpersonal skills

Flexibility and positive attitude, and an ability to work well as part of a team

Job Type: Full-time

Pay: $17.50 - $18.50 per hour

Expected hours: 35 – 40 per week
