Position Summary

The Office & Facilities Manager is responsible for managing all facilities and internship program functions. We seek an Office & Facilities Manager who is also a teacher and professional role model for our bi-annual Office Assistant internship program. A program to help ARC members gain office skills and prepare them for their next step in their career. This position plays an integral role in managing the administrative aspects of the Los Angeles office. This role serves as the first line of communication between the ARC Intern Program and the Management Team. The Office & Facilities Manager will work primarily with the Associate Director of Operations and Interns of ARC and will be engrained into the fabric and culture of the organization and its staff.

Essential Job Functions

  • Liaison between staff and ARC’s IT managed services provider
  • Work with the Associate Director of Operations to maintain Cal OSHA standards
  • Ensure compliance with CA labor laws regarding timely meal & rest breaks for interns during their scheduled shifts
  • Maintain a high standard of cleanliness, organization, and professionalism of the office facilities at all times
  • Maintain and inventory off-site storage location
  • Maintain a monthly check-in with local ARC residential site managers to offer facilities support
  • Attend weekly Member Services staff meeting to remain informed of office activities and plan for intern support
  • Contribute creative, innovative ideas to help create a world class internship program
  • Maintain office equipment by scheduling repairs and maintenance
  • Inventory and order all office supplies and kitchen supplies for the Los Angeles ARC office
  • Work with the Associate Director of Operations to recruit and train each new intern cohort
  • Schedule training opportunities for each intern cohort which may include both external trainings and one-on-one internal training on Microsoft Office Suite, Outlook email, and other general office functions
  • Train and mentor the interns on ARC phone system & email etiquette
  • Create intern schedule and monitor hours to ensure part-time status for participants
  • Supervise ARC interns and track their progress on office skill set
  • Manage ARC weekly volunteers and direct tasks around the office
  • Work with Member Events Planner and coordinate with the Member Services department as necessary to run orientation, monthly programming, and special events
  • Assist ARC staff with special tasks as requested while maintaining a positive, can-do attitude
  • Respond and complete tasks in a timely manner - within 24 hours of request, or less if more urgent
  • Process incoming and outgoing mail for the office
  • Support the Communications team by managing the info@ ARC inbox
  • Occasional office food ordering
  • Other projects/tasks as assigned

Qualifications

  • Bachelor's degree preferred but equivalent work experience may suffice
  • Requires excellent written and verbal communications including the ability to write clear, succinct emails/reports, and use diplomacy and tact
  • 4 years’ experience in a manager role – preferably in a non-profit social justice organization
  • Ability to work under tight deadlines
  • Proficient to expert in MS Office – PowerPoint, Word, Excel, Outlook, and technologically savvy
  • Ability to execute day-to-day tasks and work independently as well as part of a team
  • Willingness to share information amongst staff and members and to operate as an integral part of the overall team

Salary/Benefits: The Office & Facilities Manager position is a full-time, exempt staff position

  • Pay rate is $60,000k - $65,000k doe
  • Multiple employer medical/dental/ vision plans with up to 100% employee coverage, 50% for dependents.
