OPERATIONS DIRECTOR
Family Life Services of Washtenaw County is a pro-life, Christian, 501(c)3 non-profit ministry.
Job Title: Operations Director
Reports to: Executive Director
Supervises: Office Administrator and Front Desk Coordinator
Time Requirement: Regular full-time, 35 hours each week Monday through Friday.
Compensation/Benefits: Salaried, paid annual retreat day, paid vacation/sick time, limited paid professional development, medical benefits
The position is a dyad role with the Clinical Director and carries a high level of responsibility for office policy and procedures, compliance and human resources, operational logistics, and marketing and scheduling. The person in this position interacts with all other positions.
Responsibilities include:
- Follow the Mission Statement, Statement of Faith, Handbook, and all of the guiding principles of Family Life Services’ ministry.
- Communicate with staff, volunteers, and donors about life-affirming issues in an informed way
- Cultivate a professional team work ethic. Embody and communicate a patient/client-focused mission in positive, helpful ways.
- Participate in all Family Life Services events
- Participate in board meetings when Executive Director cannot
- Cross training, special projects and other duties as assigned.
Human Resources Support:
- Maintain up to date job descriptions and fully manage the selection/hiring process for new staff members and skilled volunteers.
- Confidentially conduct background checks and credit checks for all staff, finance volunteers or patient volunteers.
- Carefully track staff PTO use/ balances, manage staff benefit programs and process payroll.
- Coordinate new staff on-boarding and training.
- Recommend, initiate and lead work development and external training opportunities (some during staff meetings).
- Lead, plan and ensure that at least 2 volunteer appreciation opportunities occur annually.
- Co-lead volunteer, board and staff in-services, ensuring that each includes: fellowship, training and feedback opportunities 1 to 2 times per year.
- Supervise Office Administrator and Front Desk Coordinator including performance management & annual evaluations
Program Support
- Apply for grants
- Advise Executive Director on expanding or limiting existing programs or hours of operation
- Serve as lead administrator on Lifelead (for patient scheduling), Bonterra/Apricot Social Services (patient records) and GiveButter (donor database)
- Manage patient and donor marketing accounts and decisions
- Serves as project lead for annual fundraising events: a dinner & a walk
- Oversees patient scheduling, and reputation including exit surveys and online reviews
Quality Control:
- Track all metrics and run reports for finances, donors, and patients as requested by Executive Director
- Ensures data quality for reported metrics
- Run internal reports and impact metrics to identify areas of strength and weakness in quality programming and donor support.
- Benchmark with national organizations and regional alliances to uphold best practices for pregnancy testing and options counseling
- Maintain a high level of integrity, fairness and equity in both organizational practices and dealing with staff, patients/clients.
- Supports adequate financial controls and accurate bookkeeping
- Support programs that accept non-cash gifts, establish endowments and planned giving
Qualifications:
- Be a committed Christian who lives out a personal relationship with Our Lord
- Final candidate will need to sign a statement agreeing with clinic’s Mission Statement, Statement of Faith, Handbook and all of the guiding principles of the Family Life Services ministry.
- Christian, non-profit or small company experience preferred
- Bachelor’s degree in Social Work, Psychology, Communications, or relevant work experience required
- Minimum, 2 years of office support or database reporting experience
- Experience in collecting and analyzing data to guide decision-making
- Excellent verbal communication skills, including conflict management
- Strong emotional intelligence, humility, customer service ethic and interpersonal skills; able to work with people with diverse backgrounds and personalities
- Independently takes initiative, works with little supervision and motivated to effectively solve complex problems
- Comfortable working in an ambiguous, fast-paced environment with several competing priorities
- High expectations for quality work, attention to detail, mentoring relationships and collaboration across department functions
- Evening hours required on occasion, very occasional weekend hours
- Able to pass a background and credit check
