KindMind Counseling is an outpatient mental health therapy practice in Rochester and Clarkston, Michigan treating patients struggling with a wide variety of mental health concerns. Our mission is to alleviate the mental health epidemic by bringing greater mental healthcare access to a community that is so critically underserved, while also working to diminish the stigma surrounding mental fitness. Responsibilities

We are seeking an Office Manager in our Rochester office to work alongside the Owner and Clinical Director. The responsibilities of the Office Manager include:

  • Answering patient phone calls and returning voicemails
  • Onboarding new patients
  • Scheduling appointments in person and/or by telephone
  • Collecting patient payments and managing outstanding balances
  • Managing emails
  • Communicating with billing team on claim matters
  • Communicating with insurance companies on patient matters, as needed
  • Greeting and managing patients and visitors; answering patients' questions
  • Maintaining existing patient accounts by obtaining, recording, and updating patient information in Electronic Health Records system; managing administrative documentation as necessary
  • Informing providers of patient issues, concerns, or other matters raised
  • Assisting providers with administrative, non-clinical matters
  • Attending team and one-on-one meetings
  • Referring patients to outside resources when deemed appropriate
  • Maintaining supplies and office cleanliness
  • Such other activities and assistance as reasonably directed by the Company’s leadership

The Office Manager will be supported by the Owner and Clinical Director in executing these functions.

Qualifications

1. Associates or Bachelor’s degree (required)

2. Medical or behavioral health administrative experience (preferred)

Skills

  • Proficient with standard office technology (email, phone, computer, Word) and the ability to learn and use an Electronic Health Records system
  • Willing to learn and be receptive to training and constructive feedback in an effort to develop autonomy and work independently
  • Strong sense of professionalism
  • Ability to multitask when needed and capable of working with interruption
  • Capable of exhibiting strong interpersonal skills, compassion, and “emotional intelligence”
  • Willing to adapt to change
  • Excellent written/verbal communication, time management, and organizational skills
  • Ability to improvise, exhibit resourcefulness, and problem-solve effectively
  • Prioritization skills
