Full job description

The Parts and Service Coordinator is responsible for all aspects of maintaining the stock of replacement parts, generating work orders, and answering after-hours calls.

Key Duties and Responsibilities:

  • Prepares work orders for vehicles and equipment requiring service and maintenance
  • Enters vehicle maintenance and service data using various computer programs
  • Enters all out-sourced work invoices for payment
  • Meticulously organizes, maintains, and files fleet related documents
  • Runs and distributes monthly preventative maintenance and annual inspection schedules and follows up on any overdue PMs or Annuals
  • Conducts various errands as needed, which may include picking up or delivering vehicles, parts, or supplies
  • Issues and monitors purchase orders issued to vendors
  • Forecasting parts needs and ordering parts to maintain optimal inventory levels
  • Monitoring the current parts inventory
  • Pricing parts to maintain profitability
  • Receiving parts, including placing them into inventory and properly labeling them
  • Locating, ordering, and providing the correct parts to mechanic for specific work orders
  • Return warrantied, damaged, unused, incorrect, and parts not needed to the correct vendor in a timely manner
  • Managing all credits on vendor invoices and statements
  • Answer Driver Road Calls and assist with problem solving with Shop Manager and other departments
  • Ensure purchase orders and parts invoices are properly entered into the computer
  • Stay current with the Department of Transportation Federal Motor Carrier Safety Administration Regulations that apply to vehicles and equipment
  • Manage after-hours vehicle maintenance calls from drivers


  • High school diploma/GED
  • Must have a valid driver's license and reliable transportation
  • Problem-solving skills
  • Mathematical skills
  • Strong written and verbal communication skills
  • Preferred understanding of the FMCSA Safety and Maintenance Regulations
  • Experience with Microsoft Office software such as Word and Excel
  • Organizational and leadership abilities

Job Type: Full-time

Pay: $10.00 - $15.00 per hour
