Studio R Aesthetics is a physician-owned, physician-run medical spa, whose priority is to ensure that patients receive the best aesthetic results and outcomes that exceed their expectations. We treat every patient as if they were a family member.

Job Snapshot:

The goals of the Patient Experience Coordinator is to create a 5-star patient experience and drive conversions and sales for the practice. This position represents Studio R Aesthetics organization and is responsible for creating the first and last impression for our patients.

Job Location: Charlottesville, VA

Essential Functions:

● Provide detailed descriptions of treatments, packages, services, facility features, and hours of operation.

● Utilize phones, computers and software systems with skill and proficiency.
● Maintain the patient management software, with accurate information and scanning it in a timely fashion. All data must be entered within the week.
● Accurately book, change, and cancel appointments.
● Responsible for the overall management of the schedule and creating invoices.
● Manage new patient enrollment in the rewards program and educate all clients on all company initiatives.
● Actively promote the treatments, services, and retail as well as programs, promotions, and/or discounts available.
● Handle patient questions and concerns professionally and courteously.
● Provide accurate, appropriate, and immediate responses to all requests by patients, ensuring complete patient satisfaction. Prioritize direct communication or phone calls to talk to patients rather than communicate via email and text messages.

● Manage all new patient leads.
● Adhere to the follow-up process for leads.
● Work with Medical Director to handle and cross check all inventory for accurate counts.
● Assist in all areas of front desk business operations as requested by management.

A successful candidate will have the following:

● 3+ years of successful sales experience.
● Must be a problem solver and solutions oriented. Able to work independently and replicate the responsibilities of the manager for the day-to-day functions and tasks.
● Take initiative and contribute to the growth and efficiency of the business.
● Regularly attend, participate in and support training and staff meetings.
● Must be friendly, energetic, and relatable.
● Maintain a professional, positive, and enthusiastic attitude using eye contact when addressing internal or external patients.
● Handle patient questions and concerns professionally and courteously.

Education and/or Experience:

  • High school education or equivalent required. Associate’s or Bachelor’s degree and previous medical spa experience is preferred.
  • Excellent oral and written communications skills required.
  • Excellent computer skills required particularly Word, Excel, POS and EMR.
  • Excellent interpersonal skill required.
  • Excellent work ethic.
  • Significant sales experience.
  • Ability to work collaboratively on a team.
  • Ability to manage and prioritize multiple projects required.
  • Valid Virginia driver’s license required.
