Role Summary:
As People Operations & Office Coordinator, you’ll play a key role in cultivating a vibrant, efficient, and inclusive workplace. Reporting to the Director of People Operations and supporting the Executive Business Partner to our CEO, you’ll be at the heart of both employee experience and office operations. This position blends HR support, office management, and administrative coordination - ideal for someone who thrives in a fast-paced, people-focused environment and loves to keep things organized, energized, and running smoothly.

Recruitment & Onboarding
- Coordinate interview logistics to ensure a smooth and professional candidate experience
- Prepare new hire welcome materials, equipment and system access
- Collaborate with the Director of People Operations to enhance onboarding processes and documentation
HR Support & Administration
- Maintain accurate employee records and ensure timely updates to our HRIS and other people related systems
- Support benefits administration, including enrollments, changes, and communications
- Assist with compliance initiatives by helping track global labor law requirements and internal policies
Office Management & Culture
- Oversee day-to-day office operations and ensure a welcoming environment for all employees and visitors
- Monitor and restock office supplies and equipment
- Coordinate and execute internal events and global engagement activities that reflect our company culture
Executive & Administrative Support
- Provide reliable administrative assistance to senior leadership, including scheduling meetings, booking travel, and preparing presentations or reports
- Support ad-hoc administrative needs across departments
Digital Organization & File Management
- Create and maintain structured digital file systems across company platforms
- Lead cleanup initiatives to archive outdated content and ensure data and information integrity
- Train staff of best practices for digital organization and file-sharing protocols
- Implement and monitor backup and data retention practices
Desired Qualifications & Skills
- Bachelor’s degree (Human Resources, Business Administration, Psychology, or related field preferred)
- 2-3 years of professional experience in an administrative, HR, or office operations role
- Outstanding organizational, multitasking, and prioritization skills
- Strong interpersonal skills and ability to work effectively with team members at all levels, including Executive leadership
- Clear, professional written and verbal communication skills and a collaborative mindset
- Proficient in Google Workspace (Docs, Sheets, Slides, Gmail, Calendar)
- Fast learner who adapts quickly to new tools and technologies
- High level of discretion when handling sensitive and confidential information
