PHILANTHROPIC SERVICES ASSOCIATE
Hours: M-F Approximately 8:30am-5:00pm
Location: Aptos, Santa Cruz County, CA (in office position)
Reports to: Philanthropic Services Manager
Salary range: $31-$33 per hour

About Community Foundation Santa Cruz County
The Community Foundation was born in the wake of the 1982 floods and mudslides that devastated the Pajaro and San Lorenzo valleys. Generous people looking to help were searching for a central organization to send donations to—one that would support the long-term recovery efforts. But such an organization didn’t yet exist, and Community Foundation Santa Cruz County was formed to meet that need. From those humble beginnings 43 years ago, we’ve grown to address needs far beyond disaster. Since our founding, our donors have helped us award $279 million in grants, loans, and scholarships across education, the arts, human services, the environment, health, and economic development.

This position is part of a team of people who care about our community and each other. The Philanthropic Services Associate ensures excellent service to donors and nonprofits through timely processing of gift acknowledgments, organized filing, database management, and support for the engagement and donor teams. The Philanthropic Services Associate’s role is central to the Foundation’s work as an effective steward of philanthropic resources. This is a regular full-time, non-exempt, on-site position and reports directly to the Philanthropic Services Manager.
What you’ll be doing
Philanthropic Services Associate – Primary Duties & Responsibilities
40% Administrative Responsibilities:
· Assist with donor and nonprofit communication correspondence as needed
· Ensure the documentation of donor contacts, correspondence, documents and inquiries, and the quality of donor and nonprofit information and coding in the database
· Create and maintain electronic and hard copy donor and donor fund and nonprofit grant files that meet legal, auditing, and Foundation requirements
· Prepare mail merge for emails
· File fund agreements, grant agreements, and donor documents
· Partner with Operations to coordinate meeting logistics, such as ordering lunch, purchasing refreshments, printing materials, and room/technology set-up
· Maintain internal records, statement report criteria, training material and instructions
· Support philanthropic and engagement teams’ administrative needs
· Field donor calls and emails as needed
· Record demographics and survey results
· Prepare internal quarterly metric reports
40% Gift Processing:
Participate in the intake and processing of gifts in CRM
· Ensure timely and accurate acknowledgment of gifts, including tax receipts, memorials, honorariums
· Process, file and mail grantee thank you letters weekly
15% Event Support:
· Act as Project Manager for CFSCC events: prepare planning documents, schedule planning meetings, ensure proper communication between departments, coordinate catering orders, work with the Communications team to send out invitations and other duties as assigned
5% Other Duties:
· Schedule Foundation meetings for Donor Services Director and Chief Philanthropy Officer as needed
· Manage projects as needed, supervised by engagement and donor services teams
· Participate in ongoing training and professional development, including staying abreast of industry trends
· Represent the Foundation at community events as needed
· Support the implementation of the Foundation’s Theory of Change
What we are looking for:
The ideal Philanthropic Services Associate will be proactive, attentive, and able to build on the Foundation’s system to better support our donors. Candidates must have respect for the diversity of the communities and grantees with whom we work and can demonstrate strong interpersonal and collaboration skills to establish effective and respectful working relationships across the Foundation, nonprofits, donors, external consultants, the media, and other stakeholders.
- Excellent organizational, multitasking, and prioritizing skills; attention to detail; ability to work under pressure and meet deadlines
- Excellent written, verbal, and interpersonal communication skills; and ability to maintain confidentiality
- Strong problem-solving skills
- Proven abilities in analytical, database, and reporting skills
- Excellent computer skills with Microsoft Office Suite (Word, Excel, Outlook, Power Point), including merging documents, macros, and charting data for presentations (previous experience with donor or grantmaking software a plus)
- Experience with Microsoft Teams, OneDrive, SharePoint and Adobe Acrobat

Pay: $31.00 - $33.00 per hour
