MacDougall Plumbing & Mechanical LLC has an exciting employment opportunity for a schedule coordinator to join our successful team of professionals in the office. MacDougall P & M is a 30 year established leader in the service & installation of residential and commercial HVAC and plumbing systems covering Boston, Metro-West, South Shore and Cape Cod.

Job Title: Office Assistant

Reports To: Operations Manager, Office Manager, and Dispatcher

Summary The Office Assistant is responsible for providing general administrative support to office staff and will complete tasks and projects as needed.

Responsibilities Supporting Office Manager

File paper and electronic documents

Maintain general office organization and space Supporting Dispatcher

Assist dispatcher in pricing out all job materials

Assist and/or fill in for dispatcher in scheduling and dispatching crew:

Return phone calls and emails to schedule jobs

Coordinate between contractors, customers, and company technicians

Manage Google Calendars

Create jobs within Sage, an accounting software

Dispatch crew of 20-30 technicians within Sage Supporting Operations Manager

Create jobs within Sage for new contract jobs as needed

Prepare job binders, including printed drawings and specs

Create and/or edit company documents, memos, and reports as needed

  • Assist in scheduling site visits

Assist in scheduling interviews for plumbing/HVAC positions

Update office white board calendars to reflect scheduling

Assist with general projects and tasks as needed

Candidates should possess:

  • Strong work ethic and professional standards
  • Good verbal and written communication
  • Good computer skills
  • Interpersonal skills and customer relations
  • Ability to handle multiple tasks and remain organized
  • Office assistant or industry related experience preferred
  • High school or equivalent
