Job Summary

The Proposal and Administrative Coordinator will be engaged in the preparation and production of large, complex, and/or strategic proposals and presentations. This position will work closely with the divisional executive, proposal leads, subject matter experts (SMEs), and other staff to coordinate high-quality responses to customer inquiries, including initial pursuits of opportunities, requests for information, solicitation of interests, pre-qualifications, and requests for proposals. This position will also provide administrative support the divisional executive.

Primary Responsibilities

· Engage with our customers on the receipt of incoming RFPs for the Renewables, EPC, and Strategic Projects Division. Project types include Solar, Battery, EPC Facilities, and EPC Pipeline.

· Download, prepare, organize, and disseminate proposal information and deliverables to the applicable internal team members in the applicable department.

  • Assist in performing Proposal/Pricing Kick-offs
  • Author and assign sections of proposals and presentation materials, specifically compliant project descriptions and resumes to enable evaluators to easily assess company’s relevant experience in performing work of the same type, magnitude, and complexity.

· Prepares and manages proposal milestones schedule, including coordinating proposal sections, final formatting, assembly, packaging and delivery.

· Lead development of proposal plan and final presentation of submittals to meet RFP requirements, quality standards and overall strategy.

· Coordinate with our Business Development group to capture opportunities in Salesforce and to record win/loss data.

· Prepare documentation for active bids, AFEs and current jobs for weekly divisional meetings.

· Maintain database of proposal and project execution documentation.

· Provide administrative support to the divisional executive.

Secondary Responsibilities

· Provide select administrative support to directors & managers within the division.

· Serves as primary point of direct administrative contact and liaison with other internal and external groups on a range of specified issues.

· Coordinates, organizes, and facilitates meetings, conferences, and other special events as required.

· Composes and prepares written documentation and correspondence for the division.


· Bachelor’s degree in business, English, Marketing, Journalism, Communications, or related field from an accredited university required, or equivalent in years of business experience.

· 2-5 years of demonstrated professional experience; proposals experience desired, but not essential.


  • Proficient with full Microsoft Office Suite (Excel, Word, Power Point, Outlook, etc..)
  • Excellent attention to detail and accountability for delivery.
  • Good organizational skills, with the ability to work to tight deadlines, multi-task and respond quickly to requests.
  • Proactive and self-driven individual capable of driving assignments to completion.

Job Type: Full-time

Pay: $50,000.00 - $80,000.00 per year
