Position Summary:

We are looking for an experienced full-time Purchasing Coordinator responsible for coordinating all purchased products for FNEFL and its subsidiaries. This position will make recommendations on when to purchase and replenish all categories (including dry, refrigerated, and frozen) of purchased items to supplement the receipt of the daily food donations. This position will work with food brokers, farmers, manufacturers, and others as necessary to keep FNEFL stocked with appropriate food items.

Principal Duties and Responsibilities:

  • Monitor the current purchased product inventory and utilize the Purchase Order system. Evaluate and make recommendations on changes to the purchased product inventory based on consultation with program managers, input from inventory meeting discussions, available grants, etc.
  • Review and analyze available inventory system reports to develop a replenishment schedule for purchased products. Participate in collecting, analyzing, and reporting data on all food-sourcing activities. Must have a broad understanding of all food sourcing and distribution channels impacting the food bank.
  • Maintain an up-to-date list of current and new food brokers
  • Research culturally sensitive food based on state ethnicity demographics and ensure diverse holiday offerings.
  • Create appropriate Requests for Proposals (RFPs) for the purchased products. Negotiate pricing and deliveries where applicable. Oversee and maintain the database for bids and quotes.
  • Scan and evaluate the Feeding America website for special food offerings through the purchasing portal, Produce Matchmaker, and Choice as needed or directed.
  • Schedule all outside carriers including deliveries for the purchased products, government commodities, and miscellaneous trucking companies seeking to donate products as well as any other external transportation requests.
  • Administer all necessary purchasing and receipting requirements to comply with specific funder requests as grants are awarded to the FNEFL for food purchases.
  • Utilize multiple department platforms to communicate updated information on incoming loads for food sourcing and operations teams.
  • Maintain a positive attitude and professional relationship with all food donors, partner agencies, and colleagues.
  • Participate in internal committees and work groups as required.
  • Perform other duties and tasks as assigned.

Job Qualifications:

  • Bachelor’s Degree preferred or minimum of 5 years of work-related experience
  • Minimum of 1-2 years of experience in a purchasing position or equivalent experience
  • Non-profit or food bank experience is ideal
  • Valid Driver’s License

Work Environment:

  • This work is performed primarily in an office environment while sitting at a computer terminal for extended periods of time.
  • May involve periodic lifting and carrying of items that may weigh up to 50 pounds.
  • May work outside normal working hours and drive own vehicle for various projects daily.
  • Must be friendly, outgoing, and helpful to donors, volunteers, volunteer coordinators, and FNEFL staff
