Jewish Family Service is a 134-year-old non-profit organization providing social services to individuals and families in the Jewish and greater communities of the Puget Sound region. We are currently looking for a Receptionist to join our Facilities team. This position greets visitors, handles phone inquiries, and provides a variety of reception duties and coverage including internal and external information and referral, paging, monitoring waiting area, and notifying staff of client arrival. The role is responsible for supplies receiving, ordering and distribution. This position also serves as the “gate keeper” with many associated security duties for a security conscious facility.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Greets & checks in clients, visitors, vendors, volunteers, packages and notifies appropriate employees of arrival.
  • Monitors the security system for the campus.
  • Responds to panic alarm advising staff of both a threat event and its location.
  • Responds to a fire alarm by following established building evacuation procedures.
  • Registers and closes out building access prox cards.
  • Documents department processes and maintains department file share.
  • Maintains the department SharePoint hub.
  • Provides reception coverage during after-hour and weekend events, to include community workshops and regular board meetings.
  • Weighs and stamps outgoing mail including special mailings as needed.
  • Monitors meeting schedule/room use.
  • Occasionally provides meeting set-up as requested, including configuring common rooms to specific staff requirements and preparing refreshments.
  • Refers callers to community resources when appropriate.
  • Provides miscellaneous word processing support, as requested by supervisor.
  • Ensures that the reception area, including office space, is attractive and tidy.
  • Ensures a reasonable level of quiet and confidentiality in the reception area.
  • Secures building at the end of daily operations.
  • Provides support to the Director of Facilities and Security and the Facilities Administrator as assigned.
  • Maintains Agency key inventory.
  • Orders, and receives supplies. Monitors supplies budget
  • May assist executive staff when requested – keeps supervisor aware of work requests.
  • Performs other duties as assigned.

QUALIFICATIONS:

  • High school diploma or GED and a minimum of two years’ experience in office environment; or an equivalent combination of education and related experience.
  • Excellent customer service skills
  • Awareness of client-centered and trauma informed care a plus,
  • Must be comfortable with all security components of the role.
  • Proficient with the technology required and with learning new systems.
  • Organized and demonstrated ability to multi-task.
  • Excellent attention to detail.
  • Ability to set boundaries and be assertive in the service of Agency security.
  • Demonstrated ability to be flexible and collaborative.
  • Calm, personable, friendly, and professional demeanor.
  • Proficient with common office equipment: multi-line VoIP phone systems, surveillance camera platforms, postage meter, and computers. Working knowledge of Microsoft Word, Excel, Outlook, and PowerPoint is required.

SALARY AND BENEFITS:

The pay for this position is $25.02 - $30.58 an hour.
