Reports to: Med Spa Manager
Responsibilities:
- Manage daily appointment scheduling for all services offered by the Med Spa
- Utilize the CRM system to track client interactions, follow-ups, and service histories
- Contact leads and clients via phone, email, and possibly text to confirm appointments, reschedule services, and provide service updates
- Provide clients with detailed information about Med Spa services, promotions, and special offers
- Address client inquiries, resolve issues, and ensure a high level of client satisfaction
- Maintain up-to-date knowledge of spa treatments and services offered
- Collaborate with spa staff to coordinate service timings and ensure client needs are met
- Prepare and update reports on appointment bookings, cancellations, and client feedback
- Participate in training and team meetings to stay updated on new practices, CRM system updates, or changes in services
Requirements:
- High school diploma or equivalent; further education or certification in administration or customer service is a plus
- Proven experience in customer service or appointment coordination, preferably in a remote setting
- Experience with CRM software and telephone systems
- Excellent phone etiquette and proficiency in handling multiple phone lines
- Strong organizational skills and the ability to manage a complex schedule
- Exceptional communication and interpersonal skills, with an emphasis on customer care
- Ability to work independently and reliably from a remote location
- Familiarity with the beauty and wellness industry is preferred
- Access to a reliable internet connection and a dedicated workspace free from distractions
