Job Type: Full-time

Work Location: This role is 100% onsite at 4565 Reid Rd, Elon, NC 27244.

The Role: WORD Rock Drills is seeking a highly organized and detail‑oriented Sales Administrator to support our sales team from our Elon, NC office. This role ensures smooth sales processes by coordinating lead routing, answering all corporate inbound calls, scheduling installs and service jobs, preparing weekly scorecards, keeping CRM data clean, and handling day‑to‑day administrative tasks that let the sales team stay focused on selling. You’ll be the central hub for paperwork, internal communication, and basic CRM/tool support.

Key Responsibilities

  • Lead Assignment & Routing – Apply lead‑assignment rules in HubSpot and monitor timely follow‑up.
  • Install & Service Job Coordination – Own the calendar, align customer expectations, and provide pre‑/post‑install status updates.
  • Answer Inbound Calls: - Will be responsible for answering the corporate phone daily and routing calls to internal staff appropriately
  • Closed‑Won Handoff & Billing Coordination – Collect and archive all signed SOWs/POs, ensure CRM records are complete, and transmit a clean billing package to Finance so invoices go out promptly.
  • Basic CRM User Setup & Tool Support – Create user accounts, manage licenses, and handle first‑level troubleshooting for HubSpot and connected sales tools.
  • Weekly Sales Scorecard & L10 Prep – Pull and format KPIs, assemble the scorecard, and prepare materials for the Wednesday‑morning L10 meeting.
  • Non‑Parts Inventory Coordination – Track inventory of new and rental units for sales visibility; manage shipping and returns.
  • HubSpot Data Hygiene – Update opportunity fields and contact notes; run weekly de‑duplication and clean‑up tasks.
  • New‑Hire Onboarding Logistics – Set up system access, provision equipment, and prepare “day‑one” sales kits.
  • Internal Sales Communications – Distribute product/pricing updates and win announcements via Gmail and Google Chat.

Non-negotiable Qualifications:

  • 1-2+ years of proven experience in Sales Operations, Sales Support, or a similar administrative role requiring strong organizational skills.
  • Demonstrated experience administering CRM software (HubSpot or similar).
  • Proficiency with spreadsheet software (Google Sheets / Microsoft Excel) for data organization and basic reporting.
  • Exceptional attention to detail and commitment to accuracy.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Based in or able to reliably commute to our Elon, NC office daily.

Preferred Qualifications:

  • Experience creating reports or dashboards for sales or business analysis.
  • Familiarity with lead assignment principles and Service Level Agreements (SLAs).
  • Experience in B2B manufacturing, construction equipment, or a related industry.
  • Proficiency with Google Workspace (Gmail, Chat, Sheets, Docs).
