Full job description
Description of Position:
The Social Services Coordinator position plays a key role in the organization. Individuals in this position are usually the first contact with clients/volunteers either in person, on the phone or via email. After contact, individuals in this position assess client needs, provide support for our family and clients, and if necessary funnel clients to the appropriate service either provided at La Casa or by referring to other community organizations/business. Another key function of this position is to help maintain an efficient office environment by providing administrative, secretarial, and clerical support to others in the office. Person in this position reports directly to the assistant executive director and special projects coordinator.
Responsibilities:
· Provide exceptional bilingual customer service in daily interaction with families, clients, and volunteers over the phone and in person.
· Answer phones, properly take and prioritize messages, and manage the voicemail system.
· Assess client’s needs and direct families and clients to the organizations’ services or referring them to appropriate agencies/organizations/business to meet their needs.
· Registration of clients to programs and services provided at organization (youth, adult, volunteer, social services, etc.)
· Daily tracking of services provided in person and over the phone.
· Type documents, reports and correspondence for clients and staff.
· Official translation of documents and marketing materials for clients, immigration clinic, other organizations, and staff.
· Provide Public Notary services (will receive training and certification, if needed).
· Update and maintain several databases (program payments, incoming check donations, board and staff contact info, volunteers, client tracking, etc.)
· Managing the cash register, balancing and closing it several times per week.
· Sorting mail, and monitoring the agency's email, faxing, and scanning.
· Manage, maintain office supplies and equipment.
· Additional duties as assigned and needed.
Education and Experience:
· Native and fully bilingual proficiency in Spanish and English. (Speak, read, write)
· General knowledge about the Latino community and culture and the greater Michiana area, preferred.
· High school diploma or equivalent, some college education preferred.
· 2-5 yr. experience working in an office setting is preferred.
· Fully competent computer skills in MS Office, Google docs, and database systems.
· Competent professional writing and communication skills.
· High quality organizational skills, problem solving ability, and planning skills.
· Self-motivated and self-driven.
· Attention to detail, accuracy, and strong prioritizing skills.
· Flexibility, multitasking, being a fast learner and being able to manage stressful situations.
· Team player, reliable, responsible, punctual.
· Present themselves professionally in attitude and dress.
Essential Duties & Responsibilities % of Time
Receptionist/Front Desk/Customer Service - 70%
Office Support/Administrative Duties - 20%
Other Duties - 10%
Benefits
· This is a part-time position (20-25 hours per week) and pay range is $16-$18 hourly, based on experience
· Bi-weekly accrued PTO (Paid Time Off) and eight paid holidays
