Philadelphia Education Fund’s (PEF) mission is to drive exceptional outcomes for all students by developing great teachers and building paths to college and career success. Founded in 1985, today PEF is the city’s most comprehensive, full-service education organization, working tirelessly to expand and improve educational opportunities available to local youth. PEF envisions a Philadelphia where all young people have the skills, knowledge, opportunity, and access to the resources they need to succeed in college and careers.

A key aspect of PEF’s work is ensuring that every high school student in Philadelphia is supported in understanding and pursuing their options for a postsecondary academic journey, anchored in college, and supported through workplace and career exposure. To support in this effort, PEF operates a diverse portfolio of offerings targeting students (College Access Program, PhillyGoes2College, Spark Philadelphia, Philadelphia Scholars Last Dollar Scholarship, Fostering College Readiness), teachers (McKinney Center for STEM Education, the Philadelphia Postsecondary Success Program), and the community (Education First Compact, Philadelphia STEM Ecosystem). In 2017, PEF launched an education consulting practice that supports schools and nonprofits deepening student college and STEM related outcomes.

The Philadelphia Education Fund seeks a Special Assistant to support the President and CEO in the design, development and implementation of special projects intended to help deepen PEF’s work as an education thought leader locally, regionally, and nationally and inform the design of PEF’s programs to strengthen impact and outcomes. This role will also be a liaison with PEF’s Board of Trustees.

Reports to the President/CEO

Hybrid position with required days in the office

Core Areas of Responsibility

Board of Directors and CEO Support (45%)

· Function as a liaison and provide support to the Board of Trustees. Arrange and manage all logistics for Board meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board officers. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters. Maintains custody of permanent corporate records (including minute books).

  • Work closely with the President & CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Serve as a monitor creating a win-win situation for direct access to the President’s time and office. Conserve the President's time by reading, researching, collecting, and analyzing information as needed, in advance.

· Complete a broad variety of administrative tasks that facilitate the President & CEO’s ability to effectively lead the organization, including managing and scheduling CEO’s calendar, assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.

Operational Efficiency (30%)

  • Manage all senior leadership staff meetings, planning sessions, and off-sites. Creates and develops content and agendas and coordinates with presenters to ensure efficient and effective use of time.
  • Execute key initiatives assigned by management including performing analysis, research, and providing recommendations to best address a challenge or improve operations.
  • Assist with onboarding of all new hires.
  • Attend meetings, track actionable items (e.g., assigned tasks and next steps), and leading the follow-through of all items with appropriate stakeholders ensuring timely completion and forward momentum.
  • Maintain organizational calendar and convene all-hands meetings, employee team-building, and recognition events.

Strategy Development and Project Management (25%)

  • Support annual planning, partnering with leadership & finance to develop the annual company strategy, including overseeing the strategic planning process, as required.
  • Operationalize the company strategy into tactics and measure its success through a corporate OKR program.
  • Lead and oversee high-impact projects from inception to completion, ensuring timely delivery and alignment with strategic priorities.
  • As needed, coordinate cross-functional teams to achieve project goals and milestones.
  • Break projects into doable tasks, setting timeframes and goals, monitoring progress, and escalating risks.
  • Build out project management trackers when needed to support projects and initiatives.
  • Function as gatekeeper for key deliverables, making best use of senior executive’s time by ensuring all participants are fully prepared to present materials, deliverables, and strategies.


· Bachelor's degree required.

· Must possess exceptional written and verbal communication skills.

· Strong project management skills required.

· Proven ability to collaborate with and work through others to deliver programmatic goals.

· Candidates should possess creativity, critical thinking, problem-solving, accuracy, and attention to detail.

· Experience drafting minutes and supporting the board governance committee, preferred.

· The ideal candidate will demonstrate a keen interest in the design and development of key solutions to challenges confronting K-12 and college students.
