Full job description
**KIPDA participates in the Kentucky Employees’ Health Plan, the Kentucky Retirement System, and Kentucky Deferred Compensation. Under general supervision, coordinates Support Staff job duties, delegates duties and monitors Support Staff performance, provides leadership to Support Staff team members, performs general secretarial and office assignments, provides oversight of essential job functions, assists vendors and the general public with information regarding services for older persons, persons with disabilities, and their families.
JOB DUTIES AND RESPONSIBILITIES
1. Coordinates Support Staff schedules.
2. Manages team workload by delegating duties assigned to the group.
3. Meets regularly with Support Staff team members, division management, and planning staff.
4. Assures all aspects of the duties of the Support Staff team are handled in a timely and professional manner.
5. Provides leadership to current Support Staff members and leads training for new Support Staff members or temporary staff.
6. Reviews work for accuracy and assures that deadlines are met.
7. Provides status reports to the Community Services and Supports Manager.
8. Reviews Support Staff policies and procedures and updates as needed.
9. Answers multi-line telephone in a professional manner and routes calls appropriately.
10. Corresponds with the general public and other staff via email.
11. Types, reviews, copies, mails, and files forms, letters and other documents in a timely manner.
12. Maintains a filing system that is organized and accessible by staff, Program Coordinators, Social Services Division Director and Auditors.
13. Enters client data into service data systems and Excel.
14. Assists Social Service Program Coordinators and Supervisory staff with support tasks to manage their respective programs.
15. Assists the Division with data entry, program reporting, and information gathering.
16. Attends Management/Planner meetings and communicates program, policy and procedure changes to support staff.
17. Ensures Support Staff are compliant with KIPDA’s Employee Handbook and Policies and Procedures.
18. Performs other duties as required.
Experience: High School Diploma and two years of supervisory experience.
Knowledge:
1. Thorough knowledge of filing systems.
2. Knowledge of computer hardware and applicable software programs.
3. Knowledge of division programs and tasks.
4. Knowledge of reporting requirements.
Skills:
1. Skill in coordinating team tasks and responsibilities.
2. Skill in use of computers and applicable applications.
3. Skill in proper phone etiquette and multi-line phone systems.
4. Skill in use of general office equipment.
5. Skill of typing, grammar, punctuation and spelling.

Pay: $45,000.00 per year
