Position Summary

At Apache Oil Company, the Terminal Assistant will cohesively work alongside the Terminal Manager to provide seamless daily operations for our facility. The Terminal Assistant will be responsible for front desk and will call operations, connecting with customers to ensure that needs are met. Will be required to enter in orders into tracking system, answer and route phone calls, and assist with inside sale opportunities as they arise. Will be responsible for running operations of the terminal in the absence of the Terminal Manager. Experience with fuel, lubricant, and materials distribution is highly desired, as well as Inside Sales experience.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

People

1. Works with cohesively across all departments and a staff.

2. Maintains positive and professional communication with all personnel.

3. Communicates with external customers and clients with respect.

4. Work with Terminal Manager to ensure terminal efficiency, terminal safety, and customer satisfaction.

5. Answer phone calls with new and existing customers to discuss current product inventory and delivery of products.

Service

  • Assistant will be working at service desk and routing customer orders through the onsite warehouse and delivery drivers.
  • General office and clerical duties.
  • Answers and routes phone calls to include will call customer inquiries, lubricant, and fuel service orders.
  • Assisting with lubricant or fuel dispatching orders if necessary.

Quality and Safety

  • Ability to calculate figures and amounts including adding, subtracting, multiplying, and dividing.
  • Ensures orders are applied to the correct customer accounts and orders are entered with accurate billing data.
  • Ensure payments are applied to correct customer accounts.

Financial

  • Uses resources efficiently
  • Submits reimbursements in a timely manner when needed.

Education Requirements

· Highschool Diploma or equivalent – Required

Experience Requirements

· One year experience in a general office setting

· Experience within lubricants/fuel distribution preferred

Minimum Qualifications (Knowledge, Skills, and Abilities)

· Work closely and effectively with multiple levels of the organization

· Excellent organizational skills and attention to detail.

· Thorough understanding of budgetary and accounting principles, practices, and policies.
