About New Hope for Families

New Hope for Families is a non-profit 501(c)(3) corporation that helps families impacted by homelessness gain and maintain stable housing and provides accredited, early childhood development aimed at breaking the cycle of homelessness and poverty. New Hope is located in Bloomington, Indiana, and serves clients throughout Monroe County and the neighboring counties.

Mission Statement: New Hope for Families provides shelter and early learning programs to keep families together and lift every child into a promising future.

Vision Statement: New Hope is a leader in our community's effort to end family homelessness, building model programs that empower all children and families to thrive and live with dignity. New Hope will be thought leaders in the fields of early childhood education, safe emergency family shelter, access to stable housing and holistic nutrition.

Job Purpose

The Event Specialist and Volunteer Coordinator will further the mission of New Hope for Families as a member of New Hope’s Development team, providing leadership and support for critical fundraising, donor cultivation and stewardship events; and oversee volunteer activities within the organization. This position reports to the Director of Development.

Job Responsibilities

Key areas of responsibility include, but are not limited to:

Agency-Sponsored Fundraising Events (including “Hope for the Holidays: Tree Festival and Auction” (November) and Spring for Hope Gala (April)

  • Set goals and objectives for the event
  • Assist in the process of identifying and cultivating volunteer leadership
  • Recruit event planning committee members
  • Schedule and lead event planning meetings
  • Recruit event sponsorships and event partnerships
  • Develop system to share notes and documents from the meetings
  • Assist in making decisions regarding budget, venue, and scheduling.
  • Support event planning committee as they make plans and preparations for the event
  • Manage all aspects of the event, including save-the-date mailing, invitations, RSVP process if needed
  • Develop and manage a marketing plan for the event.
  • Plan for acknowledgement of event volunteers
  • Debrief and evaluate the event, making notes for future events.

Third Party Fundraising Events

  • Assist Development staff in developing a policy for third party fundraising events.
  • Communicate with community groups and individuals who wish to support New Hope through third party fundraising events.
  • Provide support and guidance as needed to enable third party fundraising events to be successful

Volunteer Management

  • Assist New Hope in creating strategic volunteer roles to help meet agency needs
  • Develop and implement marketing plans for high-priority volunteer roles
  • Plan and implement periodic orientation for prospective volunteers, to introduce them to our agency and share details about open volunteer positions
  • Interview, hire, place and train volunteers based on their interest and ability to fulfill pre-defined roles
  • Support, manage and motivate members of our volunteer staff, to enable them to be effective and successful in their defined roles.
  • Develop and implement systems to acknowledge and recognize volunteers for their work
  • Maintain accurate volunteer records, including use of our Better Impact database
  • Assist with other duties as assigned by the Director of Development

Requirements

  • Expertise with event planning and execution
  • web-based tools and searches
  • Familiarity with nonprofit business is preferred
  • Excellent verbal and written communication skills
  • Bachelor’s degree; may be substituted by experience
  • Ability and willingness to learn our volunteer management software
  • Availability for occasional evening and weekend work
  • Fluency with Word, Excel, and Google Calendar and Outlook preferred
  • Must embrace a team atmosphere and have a willingness to be flexible and open to change
  • Exceptional organizational skills, attention to detail, and ability to prioritize and execute several critical projects simultaneously
  • Excellent interpersonal skills

Hours: This position will be 30 hours /week, with possibility of expansion to 40 hours/week. Most of these hours will be in person, during regular office hours (Mon – Friday), to facilitate collaboration and communication, but some work will likely be on evenings and weekends.
