ABOUT THE JOB

Reporting to the CEO of BlackIvy, this position requires an experienced, entrepreneurial, energetic self-starter with an ability to continually reset priorities, execute under deadlines, and catch all the details.

Key Responsibilities:

  • Learn and understand the value proposition, market, and strategy for each of the BlackIvy Group of companies.
  • Provide comprehensive administrative support to the CEO whose work includes leadership of the BlackIvy Group of companies, plus multiple corporate and foundation board seats.
  • Handle complex calendar management, meeting planning and coordination, including scheduling and organizing extensive internal and external meetings, conference/video calls, and appointments; creating agendas, preparing minutes and preparing and distributing meeting materials; proactively managing and maintaining busy and ever-changing calendars (both business and personal), using excellent and quick judgement to keep the CEO on schedule and briefed/prepped for each meeting in a timely and appropriate fashion.
  • Attend meetings and create “action item” checklists following meetings and distributing to participants.
  • Coordinate intricate domestic and international travel arrangements and detailed itineraries, including flights (both commercial and private), hotel accommodations, car services/ground transportation, dining reservations, etc.
  • Provide technology logistics support including arranging communication links via teleconference, video conference and/or web conference where scheduling could include multiple participants from within and outside the firm.
  • Monitor email and flag high priority items.
  • Prepare, process, and submit expense reports.
  • Manage submissions of regular update reports from each business. Follow up with executives to get status updates.
  • Assist in preparation and printing of presentations, proposals, meeting and event materials.
  • Prepare and distribute board packets.
  • Manage and track required documentation including entity checklists.
  • Undertake strategic ad hoc projects as required.
  • Ability to work in our Washington, DC office most days, with some schedule flexibility as needed.

ABOUT YOU

You are happiest while juggling multiple responsibilities. You delight in making the workplace work and you bring:

  • 2+ years of applicable C-Suite level EA experience - bonus points if you've worked in start-up environments
  • Bachelor’s degree

  • Relentless commitment to good governance and ethical business practices.
  • Proactive, flexible, with a “no task is too big or small” mentality.
  • Excellent interpersonal and communication skills (both verbal and written).

  • Exceptional MS Office Suite skills, including PPT, EXCEL, Word
  • Self-starter mentality energized by an entrepreneurial and fast-paced environment, thinking beyond the day-to-day, working collegially and collaboratively with colleagues, hands on in approach.
  • Excellent project management skills, and an ability to prioritize and execute multiple ongoing tasks often under tight deadlines.
  • Occasional schedule flexibility for collaboration with global colleagues across time zones.
  • Drive to meet or exceed goals.
