Role Overview
Healthpeak is seeking a detail-oriented legal operations professional to support the company’s corporate, regulatory, and compliance functions. This role provides dedicated, high-touch support to multiple attorneys, with responsibility for entity management support, senior housing license tracking, administration of legal systems and software, and the continuous improvement of legal processes and templates across the corporate compliance, corporate transactions, and legal operations functions.
Key Responsibilities:
Entity Management, Regulatory & Compliance Support
- Support maintenance of the corporate entity portfolio, including assisting with formations, foreign qualifications, dissolutions, and good-standing and annual report filings across multiple jurisdictions
- Draft and maintain minute books, organizational charts, and entity records; track ownership structures and registered agent information
- Track and manage senior housing licenses and renewals, including application preparation, deadline tracking, and coordination with operators, agencies, and regulators
- Maintain the compliance calendar and recordkeeping for corporate compliance programs, policies, controls, training, and reporting mechanisms
- Support documentation and recordkeeping for data governance, cybersecurity, and emerging-technology compliance matters
- Monitor regulatory deadlines and filing obligations and proactively escalate issues
Corporate Transactions Support
- Support corporate and capital markets transactions through diligence coordination, document organization, closing checklists, signature pages, and closing binders
- Maintain transaction files, data rooms, and version control
- Track key transaction terms, dates, and post-closing obligations
Legal Systems & Operations
- Support the implementation, administration, and day-to-day management of legal systems and software (e.g., entity management, contract lifecycle, matter management, and document management)
- Manage intake, assignment, and tracking of legal requests through internal systems
- Maintain data integrity across legal systems, ensuring alignment between system records and source documents
Process Development & Continuous Improvement
- Support the development and continuous improvement of legal processes, templates, forms, playbooks, and standard workflows
- Identify workflow gaps and implement practical improvements across the legal function
- Contribute to system enhancements and automation initiatives, including exploring AI tools to streamline legal operations
- 5+ years of paralegal or legal operations experience, preferably supporting corporate, regulatory, compliance, or transactional functions (in-house or law firm)
- Experience with entity management and corporate recordkeeping; familiarity with licensing or regulatory tracking (senior housing or another regulated industry a plus)
- Experience administering or supporting legal systems and software (entity management, contract lifecycle, matter management, or document management)
- Strong drafting, organizational, and data management skills with high attention to detail
- Bachelor’s degree and/or paralegal certificate preferred; notary commission a plus
- Ability to manage multiple priorities and deadlines while supporting senior stakeholders
- Strong written and verbal communication skills and sound judgment in handling confidential and privileged information
- Salary range of $100,000 to $120,000, commensurate with experience, with generous cash incentives
